About this file

This Request for Bids (RFB) is issued by the City of Madison Engineering department for generator maintenance services. The City seeks qualified vendors to provide preventative maintenance on generators organized into three groups, with each group receiving basic preventative maintenance twice annually and load tests with major preventative maintenance every three years. Generators will be broken into three maintenance groups with different schedules, and the City reserves the right to partially award the contract to one or more bidders. Engineering may add portable generators for maintenance on a fixed-price basis and anticipates adding approximately 2-4 new generators annually at fixed or defined prices. An optional site visit is scheduled for Thursday, August 13, 2026, at 8:30 a.m. for interested bidders to view generator locations. Questions from bidders are due by August 18, 2026, at 2:00 p.m., with answers posted by August 24, 2026. Bids must be submitted electronically to bids@cityofmadison.com by September 3, 2026, at 2:00 p.m. CST. The initial contract term is three years with two optional one-year extensions. For each service visit, the selected vendor must provide a written field service report documenting inspection findings, deficiencies, corrective actions, consumables used, and recommendations.

Pricing must be submitted as all-inclusive, not-to-exceed, fixed fees using the provided Excel workbook (Form D2), with all prices remaining fixed throughout the contract term and any renewals. No specific contract value is stated in the RFB. The City offers a local vendor preference for registered suppliers and will consider partial awards to multiple bidders. The second form will be submitted to the Department no later than one year after the date on which the first form was required to be provided.

Under public works contracts, if a subcontractor is in noncompliance, the City may recover liquidated damages from the prime Contractor in the manner described above. ARTICLE VIII

(This Article applies to public works contracts only.)
