About this file
This is an Amendment (001) to a solicitation for stage, tents, chairs, and audio equipment for the Little Bighorn Battlefield 150th anniversary event. The document contains questions and government responses addressing bidder inquiries regarding event logistics and site specifications.
The government confirms that a draft site plan is attached showing planned placement of equipment, with final layout to be determined once shade tent sizes are finalized. The event is anticipated to draw up to 3,000 attendees across the entire site, but audio/visual equipment coverage is required only around the 20'x32' stage area serving approximately 425 chairs. All contract elements will be set up on existing asphalt areas with vehicular access. Residential-type power and water are available at the existing restroom building; contractors must coordinate with the Contracting Officer's Representative (COR) for power needs beyond typical plug-in units, with both 120 and 240 voltage available. The Contracting Officer is Taylor Jones (Taylor_A_Jones@nps.gov, 520-780-9294), and no other solicitation clauses or dates are affected by this amendment. The solicitation number is 140P1526Q0071.

Questions and Government Responses listed below:
QUESTIONS:
Question # Question Answer/Response
1. Is there an event layout, site plan, or floor diagram available that shows the planned placement of the stage, tents, seating areas, and audio setup?
See attached DRAFT site plan; final layout will be determined once the sizes of shade tents are known.
2. Are there any designated setup zones, space constraints, or site limitations (e.g., terrain conditions, access routes, utility availability) that we should consider?
Residential-type power and water are available at the existing restroom building. Contractor will be responsible for plugging in equipment there as needed. Both
120 and 240 can be available;
contractor should coordinate with
COR for power needs beyond typical plug-in units. All elements in this contract will be set up on existing asphalt areas with vehicular access.
3. Are there any anticipated attendee counts or seating configurations that would help determine appropriate equipment sizing and quantities?
See attached site plan for anticipated area requiring A/V. Attendee counts may be up to 3,000 on the entire site, but only the area noted around the
20'x32' stage will need to have A/V equipment coverage.
