About this file

This is a Questions and Answers document for Amendment 001 to RFQ 140G0126Q0039, the 2026 Regional Water Data Training Workshop solicitation issued by the U.S. Geological Survey (USGS). The document addresses seven key inquiries regarding solicitation requirements and expectations. The USGS confirmed that an incumbent contractor exists and is eligible to submit bids. The contract is structured as a fixed-price agreement, and while on-site contractor presence is not required, the USGS prefers a point of contact available locally to address potential issues. The USGS will provide its own name tags and registration system, and no food and beverage costs should be included in the contract pricing. Prior informal inquiries to the Tuscaloosa convention center and local hotels confirmed venue availability for the event.

The Q&A clarifies that the RFQ is directed toward event and project managers who will serve as the USGS's representative to manage all contracted services, rather than seeking quotes directly from individual hotels with in-house event coordinators. These managers will be responsible for coordinating hotel accommodations, training facilities, transportation, and exhibitor management for the approximately 300-person workshop scheduled for July or August 2026, as well as the preceding 18-person, 4-day planning session to be held between April and June 2026.

5. Is there any food and beverage tied to this contract? There should not be any food/beverage costs tied to the contract

6. Has there already been any inquiries to the convention center and the hotel regarding availability? Yes we have inquired about availability in local hotel and event spaces informally to confirm the ability to hold this event in Tuscaloosa.

7. Is the USGS seeking quotes directly from hotels that have on-staff event coordinators, or is this RFQ geared toward event/project managers who will work on behalf of the USGS to manage all the services outlined (hotel, training facility, transportation, exhibitor management, etc.)? We have the SOW aimed to event/project managers who would work on behalf of us to manage all the services outlined.
