Lafayette Auditorium AV Refresh Salient Details

Overview

The USGS Wetland and Aquatic Research Center in Lafayette, LA seeks to obtain a new AV system in the Auditorium. We are requesting a “Microsoft Teams Rooms” modular conferencing system solution. The goal of this project is to simplify our current setup and increase ease of use for presenters while also minimizing IT involvement. The chosen conferencing solution must comply with USGS security standards and be approved for use in our environment. Several other requirements are listed below.

General Requirements

• Purchase and install “Microsoft Teams Rooms” modular conferencing system solution with a touch interface tablet accessory.

• Remove and dispose current projector screen.

• Purchase and mount 2 identical projectors.

• Purchase and mount 2 projector screens.

• Purchase and mount 2 cameras.

• Purchase and mount 3 ceiling microphones.

• Run HDMI/Ethernet wiring to all equipment.

• All products purchased shall be compliant with the applicable FAR clause 52.225-3 Buy

American-Free Trade Agreements-Israeli Trade Act, as indicated in the RFQ clause document.

Solution Requirements

• “Polycom G7500” or equivalent.

• Purchase compatible tablet.

o example: “Poly TC8” or equivalent.

• To be mounted in side room server rack.

• USB support for Biamp, Shure, QSC, and Extron audio DSPs

Projector Screens Requirements

• minimum 110 inch diagonal length at an aspect ratio of 16:9

• Must be sized for 1080p projections.

• Must purchase and mount 2 identical projector screens.

• Must be motorized.

• Must be controlled by flush mounted wall controls near podium.

• Must have tension bar.

• Projections must be adequately sized, taking advantage of the space available.

• Projections must be at adequate height for easy viewing for participants sitting in rows.

Projectors Requirements

• “Epson PowerLite L775U” or equivalent.

• Must have at minimum 7000 lumens.

• CEC Support

• Must be compatible with the chosen “Teams certified modular conference room” system.

• Must support 1080p at 60Hz.

• Controllable remotely via remote and/or panel located next to podium.

• Both projectors must be bright enough to be viewable in both low and bright light situations.

• Must ensure the cables running to the projectors meet the HDMI CEC standard.

• Commercial grade HDMI splitters and HDMI over Ethernet will need to be utilized as needed.

Camera Requirements

• “Polycom Studio E70” or equivalent.

• 1x Audience facing camera must have a good view of audience.

• 1x Front facing camera must have good view of presenter at podium.

• Must connect directly with the “Teams certified modular conference room” system.

CAMERA Specs

• 2 lenses - 120-degree HFOV, 70-degree HFOV - 140-degree DFOV, 78-degree DFOV

• 20 Megapixel sensors

• Camera range - Up to 25 ft/7.62 m • 7.3x digital zoom

• UHD 2160p (4K) capture resolution

Microphone Requirements

Ceiling Mics

• “Poly IP-Based Ceiling Microphone” or equivalent.

• Purchase and suspend 3 ceiling mics compatible with the “Teams certified modular conference room” system from a drop ceiling.

• Mics must have good audible range of any guest speaking in the audience.

• Electronics enclosure with ceiling mounting hardware (UL 2043 compliant and suitable for use in air-handling spaces).

• 360-degree directional pickup

• At least 20’ diameter pickup range

Podium Mic

• Must provide a commercial grade podium conference mic at podium.

o Note: this may be something the DSP request referenced in Speaker System

Requirements section could interface with.

Speaker System Requirements

• Purchase a commercial grade DSP that is compatible with the chosen “Teams certified modular conference room” system. It must also be compatible with the following in place equipment:

o Lucia 120/1-70 AMP o 6x 70v QUAM System-19 speakers

Podium Area Requirements

• Provide 2 HDMI outputs to podium for the 2 separate video feeds coming from side room server rack.

• Provide 1 HDMI input from podium back to side room server back.

• Run other connections as needed after evaluation.

• Commercial grade HDMI splitters and HDMI over Ethernet will need to be utilized as needed.
