Questions and Answer’s Question 1:
How will we know if a translator/interpreter is needed?
This was suggested as a placeholder for the off-chance it would be necessary. In actuality- it is very doubtful that it would be necessary for these "higher-level" meetings.
Question 2:
Will the project team be able to provide a recommendation for a translator/interpreter?
Yes, if it was needed, we have several resources you could connect with
Question 3:
Will the 2-day Executive Leadership Meeting and the 1-day Project Meeting be held on consecutive days during the same week? Or will it require 2 separate visits by the contractor?
The vision is for them to be separate, in different weeks- possibly even different months. Therefore, I would expect them to need separate travel expenses from a contractor
Questions 4:
Do you have an estimated timeline/dates for both the Leadership Meeting and Project Meeting?
Leadership- very quick turn-around on that- This Fall/Early winter......Project Meeting- further out- winter 2023 or Spring 2024
Question 5:
How many pre-meeting interviews are anticipated?
I would envision that this is a remotely conducted set of calls on the order of 20 total (with various individuals). These would be 1 hour or less.
Question 6:
Estimated duration of each pre-meeting interview?
See above- 1 hour or less
Question 7:
Number of participants in each pre-meeting interview?
Variable. Less than 10
Question 8:
Are travel costs in accordance with Federal Joint Travel Regulations (JTR)? If not, should travel be listed as a separate line item?
Travel costs are in accordance with the Federal Joint Travel Regulations and should be factored into your bid as a whole. Keep in mind the anticipated award is firm fixed price and pricing and evaluation will be based on a total price. We will not evaluate travel pricing as a separate line item at this time. You have to include your travel costs in the total amount. If we were ever to evaluate travel costs they will be based off of the JTR.
Question 9:
Who bears responsibility for securing facilities for the meeting? Can Region 7 facilities serve as the host venue for the event?
Region 7 regional office at 1011 E. Tudor Rd in Anchorage can serve as the host venue. We have several conference rooms of different sizes we can reserve for meeting purposes.
Question 10:
Should the contractor include the cost of a meeting space, food, video-conferencing, etc., in the proposal?
Yes
Question 11:
Will post-award conference and periodic progress meetings be conducted virtually?
Yes
Question 12:
Will Government provide applicable publications or provide publication titles and access where they can be accessed?
Government will provide the project documents (background, fact sheets, etc). Contractor should plan to provide all agenda and meeting logistical documents (maps, attendee lists, etc)
Question 13:
Can you tell me approximately how many people will attend the training?
The 2-day leadership meeting will be approximately 25 people. The management meeting will be up to 50 people.
Question 14:
How is pricing to be evaluated?
Pricing is to be evaluated as a whole total amount for the services rendered and the requirement will be awarded at a not to exceed firm fixed price amount.
