About this file

This document contains Revised Questions and Answers from a solicitation for Audio Video Conference Room Equipment, Installation, and Training for the USDA's Farm Production and Conservation (FPAC) division.

The key details are:

  • The solicitation number is 12FPC224Q0038 and the contract is for upgrades to audio/video equipment in 5 conference rooms for the NRCS Arizona State Office.
  • The government requires Microsoft Teams conference room equipment, which must be brand name Polycom or Cisco devices, as these are the only devices currently certified for use on the USDA network.
  • The government currently has Cisco Telepresence Touch 10 devices installed, but is open to keeping the existing equipment if it can be simplified to minimize visible wiring and cables. Alternatively, the government is willing to consider alternative options beyond Cisco if needed.
  • The government will not exercise supervision or control over the contract service providers, who will be accountable solely to the contractor.

REVISED QUESTIONS AND ANSWERS (Questions #9 and #24)

USDA FPAC NRCS AUDIO VIDEO CONFERENCE ROOM EQUIPMENT,

INSTALLATION, AND TRAINING

12FPC224Q0038

Question 9 – Will you require a Team Rooms (Microsoft Certified) device? Or do you only require Microsoft Teams to function with the Touchpad/HUB?

Response –

The Contractor must provide Microsoft Teams equipment and the hardware must be brand name, either Polycom or Cisco. See paragraph below that was taken for the Statement of Work.

2.2 Other Requirements:

• The Contractor shall provide/install a modular audio video conferencing system(s) to support up to five separate conference rooms including all labor and equipment/supplies that provides the following:

o Microsoft Teams conference room teleconference equipment Specifically, hardware MUST either be Polycom or Cisco devices. These are the only devices that are currently certified for use on the USDA network.

Our sole requirement is for Microsoft Teams functionalities. Presently, we have Cisco Telepresence Touch 10 devices installed in each room, which facilitate our operations and features for Microsoft Teams, Google Meet, Zoom, and WebEx.

Question 24 - We believe that you would like to use Microsoft Teams through Cisco Webex. Do you have any current Cisco equipment you would like to keep, or do you want to replace all Cisco equipment with newer ones?

Response

The Contractor must provide Microsoft Teams equipment and the hardware must be brand name, either Polycom or Cisco. See paragraph below that was taken for the Statement of Work.

2.2 Other Requirements:

• The Contractor shall provide/install a modular audio video conferencing system(s) to support up to five separate conference rooms including all labor and equipment/supplies that provides the following:

o Microsoft Teams conference room teleconference equipment Specifically, hardware MUST either be Polycom or Cisco devices. These are the only devices that are currently certified for use on the USDA network.

– Presently, we have Cisco Telepresence Touch 10 devices installed in each room, which facilitate our operations and features for Microsoft Teams, Google Meet, Zoom, and WebEx. We lack comprehensive knowledge regarding the Cisco devices and their full range of functionalities.

Should the existing setup remain relevant and beneficial, we are willing to reconsider our current configuration of the current Cisco devices we have set up. However, we firmly insist on minimizing the visibility of wires and cables associated with the connections and operations. If Cisco is unable to provide a simplified solution, we would like to investigate alternative options beyond Cisco.
