QUESTIONS AND ANSWERS
USDA FPAC NRCS AUDIO VIDEO CONFERENCE ROOM EQUIPMENT, INSTALLATION,
AND TRAINING
12FPC224Q0038
Question 1 - Will you be connecting the displays to the internet or intranet? What will be the limitations on the intranet?
Response – The displays on the walls do not need to have internet or intranet access. We just want the capability of mirroring our devices to the displays for public presentation. If wireless capability of this requires the display to have internet, then we request one HDMI or similar cable to connect to our devices to properly mirror our device to the display. If a cable is required, we request that one cable provides all the functions such as display and audio.
Question 2 - What applications other than teams do you plan on using on the displays?
Response – Microsoft Office, Adobe Acrobat, Google Meet, WebEx and Zoom.
Question 3 - Will you be removing the Crestron devices in their entirety or maintain some functionality by keeping a few devices? If so, what functionality would you like to retain?
Response – At present, we lack comprehensive knowledge regarding the Crestron devices and their full range of functionalities. Should the existing setup remain relevant and beneficial, we are willing to reconsider our current configuration of Crestron. However, we firmly insist on minimizing the visibility of wires and cables associated with the connections and operations. If Crestron is unable to provide a simplified solution, we would like to investigate alternative options beyond Crestron.
Question 4 - In addition, if you will be keeping the Crestron device(s), can you specify the model(s)?
range of functionalities. Should the existing setup remain relevant and beneficial, we are willing to reconsider our current configuration of Crestron. However, we firmly insist on minimizing the visibility of wires and cables associated with the connections and operations. If Crestron is unable to provide a
The current Creston Model # we have is: 3 Series, DMPS3-4K-350-C
Question 5 - For the auto-tracking cameras, do you want movement tracking or speech?
Additionally, does it need to be a PTZ camera?
Response – We kindly request that the speech functionality for the conference rooms be designed to accommodate their large size, and we prefer to avoid movement tracking capabilities to account for instances where individuals may need to step out, such as for a phone call or a restroom break. While PTZ cameras are not a necessity, we remain open to their inclusion if deemed appropriate.
Question 6 - Do you require the microphone to be ceiling mounted as well?
Response – While ceiling-mounted microphones are not a necessity, we prefer not to manually hold mobile microphones while moving around the rooms during presentations.
Question 7 - Do you require any ceiling speakers?
Response – Given the expansive conference room, which comprises two distinct conference areas and a break room that can be combined into a single large space, we would like to consider the installation of ceiling speakers to effectively serve the entire seating area, ensuring superior sound quality for both the displayed presentations and the speakers.
Question 8 - By HUB, do you mean a touchpad device to control meetings? Such as a Teams Room device?
Response – At present, each conference room and executive suite is equipped with a LaunchPort Tablet that operates the Crestron Application. This device and application facilitate the management of displays, audio systems, and the integration of various connected devices. We are interested in investigating possibilities for enhancing their user-friendliness or potentially replacing them altogether.
Question 9 – Will you require a Team Rooms (Microsoft Certified) device? Or do you only require Microsoft Teams to function with the Touchpad/HUB?
Response – Our sole requirement is for Microsoft Teams functionalities. Presently, we have Cisco Telepresence Touch 10 devices installed in each room, which facilitate our operations and features for Microsoft Teams, Google Meet, Zoom, and WebEx.
Question 10 – In case you require a Teams Rooms device, do you want it to be table-mounted or wall-mounted?
Response – We would rather avoid having any devices fixed in place. Currently, our Cisco Telepresence Touch 10 devices are placed manually on tables, while the LaunchPort Tablets are affixed to the wall but are designed to be magnetized for charging, allowing for their removal and mobile functionality.
Question 11 – Currently, is Microsoft teams available on premise/on your server?
Response – Yes, it is the primary team collaboration application that the entire USDA Agency uses.
Question 12 – Exactly what kind of eco-system are you planning to incorporate with the hardware?
Response – Unfortunately this is too general of a question, we ask that the Contractor uses their best discretion for this as we are a Federal Government Agency.
Question 13 – Are there any other functionalities you have in mind other than using Microsoft teams and wireless content sharing?
Response – None at this time.
Question 14 - What is your use-case for Microsoft teams? Will you be connecting with people within the organization and on the same intranet server, or will you also be reaching out to people outside of the organization?
Response – Microsoft Teams serves as the main collaboration tool utilized by the entire USDA Agency.
Additionally, within the same application, we engage with individuals outside our Agency through the internet application usage and by providing an alternative phone number for audio communication when online connectivity is not feasible.
Question 15 - If you want to speak to people outside the organization, will you white-list those specific domains on a case-by-case basis?
Response – We officially schedule MS Team Meeting via e-mail. Participants will receive the ID number for joining through the application, a link for accessing the meeting via the internet application, and a phone number for audio communication in the event that online connectivity is unavailable.
Question 16 - What device do you need to connect the laptop to wirelessly? Do you perhaps mean to share content on the display from the laptop?
Response – At present, we possess HDMI cables and LogiDock HUB devices to facilitate our connections. Our objective is to remove the necessity of manually connecting cables to our devices, preferring instead a solution that allows for seamless content sharing from one device to another display.
Question 17 - What other 3rd party devices are you planning on connecting with the system?
Response – Camera Tracking, if not already implemented with the system. Other than that, nothing else at this time.
Question 18 - Is there a concealed conduit under the table all the way to the wall?
Response – Yes, they should be visible on the redacted blueprints provide by the Contracting Office.
Question 19 - Can you provide any details regarding the meshed display in wall feature? What exactly is this?
Response – In the Executive Office, there is a standard display meshed into the wall. This was a feature provided by a company called DIRTT. They provide a variety of options to integrate hardware into the design of your space. Wall-mount devices or get a clean, modern aesthetic by seamlessly embedding technology directly into your walls. The Executive assigned to this office would like to keep this feature in place.
Question 20 - Are you planning to keep using any of the previous hardware? If so, which one(s)?
We will need this information to confirm compatibility with our solution.
range of functionalities. Should the existing setup remain relevant and beneficial, we are willing to reconsider our current configuration of Crestron. However, we firmly insist on minimizing the visibility of wires and cables associated with the connections and operations. If Crestron is unable to provide a
Question 21 - What would be the budget for this project?
Response – Unfortunately, we are unable to provide a budget for this requirement.
Question 22 - In preparation for the BYOD (Bring your own Devices) system, would you like to install HDMI and USB cables in the Cable Cubby? This would allow the laptop to use the PTZ and MIC system.
a. If so, what equipment would you like to have for your control system? (For Display Power Control, Input Change (PC and BYOD))
Response – Currently, we are unable to fulfill the request for HDMI and USB cables in the Cable Cubby.
Our preference is to eliminate cable connections to our devices and instead access and share content wirelessly. However, if cables are necessary, we would accept one HDMI or a similar cable that allows us to effectively mirror our device on the display and utilize all other functionalities. Should a cable be required, we kindly request that it supports all functions, including both video and audio.
Question 23 - Please confirm whether the Logitech equipment needs to be removed.
Response – At present, we lack comprehensive knowledge regarding the Logitech devices and their full range of functionalities. Should the existing setup remain relevant and beneficial, we are willing to reconsider our current configuration of the current Logitech devices we have set up. However, we firmly insist on minimizing the visibility of wires and cables associated with the connections and operations. If Logitech is unable to provide a simplified solution, we would like to investigate alternative options beyond Logitech.
Question 24 - We believe that you would like to use Microsoft Teams through Cisco Webex. Do you have any current Cisco equipment you would like to keep, or do you want to replace all Cisco equipment with newer ones?
Response – Presently, we have Cisco Telepresence Touch 10 devices installed in each room, which facilitate our operations and features for Microsoft Teams, Google Meet, Zoom, and WebEx. We lack comprehensive knowledge regarding the Cisco devices and their full range of functionalities. Should the existing setup remain relevant and beneficial, we are willing to reconsider our current configuration of the current Cisco devices we have set up. However, we firmly insist on minimizing the visibility of wires and cables associated with the connections and operations. If Cisco is unable to provide a simplified solution, we would like to investigate alternative options beyond Cisco.
Question 25 - There are three types of rooms... Do you want to replace all the TVs? If so, which rooms need interactive (touchscreen) display units?
Response – If the existing three displays in the shared conference rooms currently continue to function effectively and serve a useful purpose, we do not find it necessary to replace them. The displays primarily serve the role of showcasing content from our individual devices. The inclusion of a "touchscreen" feature appears unwarranted, as the displays are merely reflecting information from another device. We prefer to maintain control of the separate device while conducting presentations on the display.
Question 26 - Will quotes be accept if contractor did not attend the mandatory site survey?
Response – Regrettably, the site survey was a requirement as mandated by the USDA. Consequently, if a contractor was unable to participate, their quote packet will not be considered for review.
Question 27 - Will the site survey be extended if contractor and attend next week 8/19-8/23?
Response – Regrettably, the site survey hosted on 08/14/2024 @ 09:00am was a requirement as mandated by the USDA. Consequently, if a contractor was unable to participate, their quote packet will not be considered for review. At this time, USDA is not prepared to extend another future site survey.
Question 28 - For the Shared Conference Room A/B/C can blue prints be provided to ensure that sound is covered in all rooms being utilized separately and or together?
Response – Upon the completion of the site survey conducted on August 14, 2024, the designated Contracting Officer Team received the redacted blueprints from our Building Management Team, which will be distributed to the Contractors and made available through SAM.gov.
Question 29 – Is the requirement for “Smart Displays” means interactive touch screen with internet? Or just Displays with internet connections?
Response – The displays primarily serve the role of showcasing content from our individual devices.
