About this file
The questions and answers document provides clarification on a preventative maintenance contract for autoclaves and washers. The document addresses two key questions from a potential vendor: (1) confirming that repair services outside of preventative maintenance would be separately charged, and (2) seeking guidance on maintenance approach options. The U.S. Department of Agriculture's Animal Plant Health Inspection Services (APHIS) is soliciting a firm fixed-price contract for bi-annual preventative maintenance services in Ames, IA, with a base year and four option years. The vendor is invited to provide pricing for two maintenance options: a comprehensive annual kit replacing multiple components or a parts-replacement approach as needed during maintenance. Interested parties must submit a complete quote package using Solicitation Number 12639525Q0071 by 3:30pm EST, with questions due by 8:00am on 3/7/25 to the Contracting Officer Kathy Melbe via email.

Questions/Answers Question 1: Repair services outside of requested Preventative maintenance would not be covered under this contract and would be a separate charge, correct? If so, should I include the estimated costs of an on-site service call?
Answer 1: Yes, repairs outside of the Preventative Maintenance would not be covered under this contract.
Question 2: For the requested bi-annual Preventative Maintenance, our company has previously offered different options. We have done Comprehensive Preventative Maintenance kits recommended by the manufacturer that are done on an annual basis. These involve replacing all the solenoid valves, gaskets, filters, steam traps and other components. Otherwise, what we have also done is replace parts as needed during or after Preventative Maintenance. Is there a specific route you are looking for in the Bi-annual PMs?
Answer 2: Feel free provide pricing for both options.
