Solicitation #12445025Q0003 Southern Research Station HQ Tree Removal Service Contract

Q&A as of 14 January 2025

1) Can we dispose of wood chips on site?

a. There are 2 specifically designated areas where vendors can place wood chips if spread uniformly to a depth of no more than 6 inches. Please note, this is not a contract requirement. The Government is providing this as an option to vendors.

2) If performing stump removal are their utility lines, we need to be concerned with.

a. There will be nearby utility lines in a couple of locations. Site utility plans from construction are provided as part of Amendment 3. Contractor will be responsible for engaging a utility locating service prior to commencement of any work that may impact buried utilities.

3) Are we required to pull stumps or can we grind them on site.

a. You can use a stump grinder to grind stumps to a depth below ground level. All holes are required to be filled after pulling or grinding of stumps.

4) Are there trimming requirements in additional to tree felling/debris removal.

a. There is an area along the driveway near the parking garage entrance where limbs overhanging the roadway will need to be trimmed. Height will be specified in forthcoming amendment. There is also a single limb flagged with red flagging on opposite side of entry roadway near the top of the drive just before entering the rear parking lot.

5) There is flagging on the other side of roadway, do those need to be cut as well?

a. No trees are to be cut on opposite side (Chancellors Residence side) of entry driveway.

Except for the single low hanging limb with red flagging.

6) Are there a certain number of weather days allowed for?

a. No, the period of performance may be extended in an upcoming amendment, but the Pop will be based on calendar days after issuance of the NTP with no additional allowance for weather days.

7) What is the traffic like where work will be done?

a. Traffic should be light, but you will see a fair amount of dogwalkers and other pedestrians in the afternoons and on weekends. Tuesdays tend to be busier with more vehicle traffic to the office.

8) Are we allowed to work on the weekends.

a. Work outside of normal hours (8-5, M-F) must be approved by the COR in advance.

Some activities may be approved for weekend work, but approval is not guaranteed.

9) Can you clarify seeding, fertilizing, and mulching requirements?

a. Areas suitable for mowing shall be seeded, fertilized and mulched, including Points 15 and 16, Area 7 and portions of Areas 3 and 5.
