About this file
This document provides an amendment to a solicitation for preventive maintenance services at the International Institute of Tropical Forestry facility. The amendment includes revisions to the statement of work and answers questions received from potential offerors. Preventive maintenance will include quarterly in-depth inspections and monthly visits to change filters, adjust thermostats and vents, clean ductwork, and replace minor parts. Parts and labor costs will not be reimbursed separately, as replacement of parts is to be performed during scheduled preventive maintenance visits. Approval from the contracting officer's representative is required for replacement of parts over $300. The period of performance is from October 1, 2021 to September 30, 2022, and invoices must be submitted through the Department of Treasury's Invoice Processing Platform.

A1:This vent/ductwork cleaning is only ¿surface¿ cleaning (inside the building what the eyes can see). In other words, what the internal client can see from inside the building, i.e. vents, etc. this is not ¿in-depth¿ cleaning. In other words, it does not include the ductwork that cannot be seen (above ceiling). See additional language in updated SOW.
Q2.1: Preventive maintenance inspections are to include necessary replacement of all lubricants, coolant, belts, hoses, and minor parts (less than
$300 per item).
Please clarify if minor parts less than $300.00 will be reimbursed on the monthly PM invoice?
A2.1: No, parts under $300 will not reimbursed.
These need to be accounted for under the Firm

Third paragraph:
Q3.1: Parts requiring replacement during scheduled maintenance visits that are more than
$300 per individual item are eligible to be reimbursed under the reimbursable parts line item but will require COR approval prior to replacement. Reimbursement is based on the actual cost of parts and materials to the Contractor;
profit and overhead will not be allowed. Requests must be accompanied by a supplier invoice that would also be uploaded in IPP with the vendor invoice. We understand that this will applied on parts cost ranging from $301.00 to $2,499.00.
A3.1: This may also apply for parts above
$2,500.00. If parts are above $2,500.00 the contractor is required to provide competitive quotes or documentation supporting lack of competition for those parts, when seeking COR approval for replacement parts. See FAR 52.212-1
(e) for the option to submit multiple offers.
Q3.2: Please clarify how the government will compensate for contractor's time to replace and outsource these parts? Will it be reimbursed on the monthly PM invoice?
A3.2: Labor costs to associated with replacement of parts will not be reimbursed. Any necessary parts replacement is intended to be performed while on-site during scheduled. Labor costs to associated with replacement of parts will not be reimbursed. See FAR 52.212-1 (e) for the option to submit multiple offers.
Seventh paragraph:
Q4: The Government reserves the right to purchase parts through any procurement means available and/or required by Federal regulation. These parts would be provided to the contractor for replacement on the next monthly scheduled visit.
