This document is a Request for Quotes (RFQ) for audio visual upgrades to auditoriums and a conference room located in Athens, Georgia. The upgrades are required for three venues - the main auditorium, rear auditorium, and a 2nd floor conference room. The SOW specifies requirements such as a BYOD laptop input, video displays, audio systems, lighting controls, and other AV equipment. Vendors must provide quotes by September 6, 2024. This is a total small business set-aside under NAICS code 334310 with a 750 employee size standard. The resulting award will be a firm-fixed price purchase order. Vendors are encouraged to inspect the equipment prior to submitting quotes. The SOW provides additional technical details and requirements to be addressed in the vendor proposals.

1. Do we have drawings and schematics, including wattage for the auditorium?
No
2. Does the contractor need to install dimmer switches specified in the SOW?
No
3. Please confirm that the desired location of the additional touch panel for the Main Auditorium is on the interior entrance wall between the Rear Auditorium entrance and the back wall of the Main Auditorium.
Yes
4. Please confirm that all three venues are to have a single audio/video source: a BYOD laptop with MS Teams and other virtual meeting platforms preinstalled, and that no other audio/video source is required except for microphones.
Yes
5. All three venues require a wired BYOD source input at the podiums. Is a wireless BYOD connection option also required?
Please reference the Statement of Work. These items are not required for this quote.
6. The existing Digital Sound Processors (DSP) within the “in place audio systems” that are to be reused lack USB and Dante which are required for MS Teams and Zoom meetings. However, replacement DSPs are not specifically indicated. Please confirm if the existing DSPs are to be replaced or reused.
If the system you are proposing requires the replacement of Digital Sound Processors, please include the items in your quote.
7. The conference room ceiling has an existing video projection screen and motorized projector lift that retract into the existing ceiling grid. Is retract and “abandon in place” acceptable for these items, or are both items to be removed and the ceiling grid to be repaired?
Yes….Per SOW “Due to the current HVAC configuration in this space, the ceiling mounted projector and screen needs to be removed and replaced with a Video wall consisting of four (4) monitors between 50 to 69 inches.”
8. An electrical power outlet is required at the front of the Conference Room for the new main display panel, does the contractor need to install this outlet?
No. In place maintenance contract can support this item.
9. Is wall backing required at the Rear Auditorium front wall and at the Conference Room front wall to support the new video display panels?
Yes…if the proposed replacement monitors require the backing as part of the vendors quote.
10. Is new CAT6 cabling required for all new audio/video devices?
Yes
11. The SOW states “Current in place AV and lighting controllers must be utilized to the maximum extent practicable.” However, the SOW includes replacement control processors and 10” touch panels. If the existing control system and its touchpanels are capable, should they be reprogrammed to provide the desired functionality or replaced with new units?
Yes, only if the Vendor solution can fully support requirements in the published Statement of work.
12. What is the expectation for maintenance and service of any equipment and cabling “existing in place” and to be reused?
Vendor should replace any required cabling to ensure proper functionality and to ensure it is covered on the future warranties and maintenance. Any reused equipment will not fall under the warranty, but must be approved.
13. Is the vendor responsible for removing any existing equipment?
Follow statement of work guidelines. Old A/V Components not covered in the SOW will be covered by USDA Personnel.
14. At the site visit Electricians were on site installing amongst other things dimmers to control the lights – the SOW calls for 4 dimmers for the same space – please advise if this should still be included in plans.
These items can be removed from the quote since these items are being installed on a separate project.
15. The 2nd floor conference room calls for use of in place lighting controls – it also has the Control4 light dimmers in the SOW, the current lighting system is controlled by Creaton, is this to be removed?
See item 2.4 in the SOW “The new system must support lighting controls in the Building 1 Auditoriums and the second floor conference room. The Contractor must utilize the current AV systems to the maximum extent practicable.”
