About this file
This is a Questions and Answers document for RFQ# 1232SA26Q0379 issued by USDA.
The RFQ requires replacement of evaporator coils on two wall-mounted BARD heating and air conditioning units using R410A refrigerant. Both units are located at a facility in Bryan, Ohio (based on nameplate information visible in the provided images). Four government-furnished replacement coils are already onsite and ready for installation. The scope of work is limited to coil replacement and leak testing/startup verification. Access to the units will require a ladder or lift, as the units are wall-mounted. The contractor must dispose of the removed coils and is not responsible for any repairs discovered during testing that fall outside coil replacement (such as compressor, valve, controls, electrical, or line-set issues). Any additional work discovered would require a separate contract if costs exceed $2,499.00, or could be executed as a micropurchase if funding is available within the location's FY26 budget. The images show two separate BARD units mounted on the exterior walls of a modular building structure, nameplate documentation indicating model information and specifications, and packaged replacement coils ready for delivery.

Questions and Answers for RFQ# 1232SA26Q0379
Q: Can you please provide the complete model numbers and refrigerant type for both BARD units?
A: See the pictures below for images of the name plates of both Bard Units. The refrigerant is R-
410A
Q: Are all four government-furnished replacement coils currently onsite and ready for installation?
A: Yes
Q: If leak testing or startup identifies additional problems unrelated to the replacement coils, such as compressor, valve, controls, electrical, or line-set issues, will those repairs be considered outside the scope of this RFQ?
A: Yes, the requirement only covers coil replacement and testing. The discovery of any additional work would mean needing to establishment a separate contract (if the total price to complete would exceed $2,499.00 and if not it could instead be done as a micropurchase if the location has any funds remaining in its budget for FY26 it can allocate to complete it).
Q: Are the units accessible from ground level, or will a lift, scaffolding, crane, or other special access equipment be required?
A: The units are wall mounted. A ladder or lift would most likely be required. See the pictures below.
Q: Are the removed coils to be disposed of by the contractor, or retained by USDA for warranty/core return purposes?
A: The coils are to be disposed of by the contractor.
