About this file

This file is a Questions and Answers document containing 26 vendor inquiries and government responses related to RFI 11316026N0001OAS for an Integrated Workplace Management System (IWMS) procurement by the Executive Office of the President Office of Administration.

The RFI seeks an on-premises IWMS solution to support space planning and data management across approximately 3,700 employees, 20 business groups, 9 buildings, 50 floors, and 1.7 million rentable square feet, with roughly 3,800 rooms. Key technical requirements include: containerized Linux-based architecture using RKE2 Kubernetes (not OpenShift), air-gapped deployment by default, real-time API integrations with the government's on-premises HCM system and Pitney Bowes parcel tracking, bi-directional data exchange capabilities, and support for 4 admin/analyst users, 22 editors, and 20 viewers. The government will procure hardware and configure the Kubernetes environment; the successful vendor is responsible for application configuration, hardware installation and configuration, and creating a lower testing/UAT environment. Security requirements include SSO/MFA through GoEntraID and Tier 5 background investigations for personnel. The government does not require FedRAMP, will not provide specific security requirements externally, and does not anticipate site or change-freeze windows affecting implementation. Post-implementation support will be handled through a separate call order. The government may use RFI responses to downselect vendors for the subsequent solicitation and reserves the right to integrate with Jira for ticketing in the future, though integration is not currently required.

8Will the government share market research findings or host industry one-on-ones after the RFI closes? The Governement will not share market research findings or host industry one-on-ones after the RFI closes.
900043.1 Functionality, section K, comment K.5Would you consider a limited test/UAT environment to reduce risk during data uploads, upgrades, and security changes? The Government prefers to have a lower environement available for testing. The vendor may include a recommendation for a "limited test/UAT environment" in the RFI.
10What are the RTP/RPO approved approaches for a system backup for disaster recovery? The Government is not able to provide approved RTO/RPO approaches at this time. At minimum, the vendor should target zero data loss and immediate resolution, recovery target is fluid. The vendor may include a recommended RTO/RPO approach in their RFI.
11Will the government provide Azure AD (please list if other) tenant configuration details for SSO/MFA and any requirements for certificate management, PAM, and/or privileged access to the host system? The Governement will provide SSO capability through GoEntraID.

If no, will there be a separate solicitation for management and maintenance services for the implemented system? The Government anticpates a separate call order for post-implimentation support. The vendor may include a recommended post-implimentation support plan in their RFI.
