About this file

This document is a Request for Proposal (RFP) issued by the City of Fort Worth Purchasing Division for Generator Maintenance Services, reference number 25-0248. The RFP seeks to establish a non-exclusive agreement for generator maintenance services on an "as-needed" basis. The previous fiscal year's spending for these services was $230,000, though the city makes no guarantee of specific purchase amounts. The scope of services includes preventative maintenance, load bank testing, automatic transfer switch maintenance, repairs, and emergency response services for generators located at various city facilities. Contractors must have a minimum of 5 years of experience, maintain a permanent business address, and be able to respond to service requests within 8 hours for normal situations and 4 hours for emergencies.

The RFP includes a comprehensive evaluation process with 100 total possible points, distributed across cost (15 points), small business participation (20 points), qualifications and company experience (30 points), ability to meet city needs (20 points), and method of approach (15 points). The city has established a 30% small business participation goal, requiring at least 30% of the total awarded contract value to be subcontracted to or spent with a certified Small Business Firm. Pricing will be based on firm-fixed prices, with contractors required to provide detailed quotes including labor rates, parts, materials, and timelines. Invoicing requires detailed documentation, and all unit prices must include all associated costs, with no additional charges accepted by the city.
