About this file

This document outlines vendor certification and licensing requirements for document and records destruction services contracted by Broward County's Finance and Administrative Services Department, Records, Taxes, and Treasury Division in Fort Lauderdale, Florida. The county seeks a contractor to provide secure on-site film and document records destruction services for the Records Center and other Broward County agencies located throughout the county. Services required include all necessary labor, supplies, equipment, transportation, insurance, and incidentals for destroying paper-based records such as office papers, computer paper, file folders, and envelopes, as well as occasional non-paper media including computer media, tapes, and microfilm. The contractor's shredding equipment must be capable of destroying documents containing staples, paperclips, binder clips, and similar fasteners. This is an open-end/indefinite quantity contract with an initial three-year term and two annual renewal options.

The critical requirement for bidders is certification by the National Association for Information Destruction, Inc. (NAID), with AAA certification mandatory during the contract term. Proof of NAID certification must be provided with the bid submission; however, if not initially included, proof must be furnished within three business days of a request by the Purchasing Agent, with failure to comply rendering the contractor non-responsive. NAID-certified companies operate under strict codes of standards and ethics, with annual and random audits conducted by security professionals holding Certified Protection Professional accreditation through the American Society for Industrial Security. As an open-end contract, the county may issue purchase orders as needed and may procure amounts above any guaranteed minimum quantity from alternative sources.
