About this file

This is a Request for Quotes (RFQ) issued by the Cherokee County School District (CCSD) in Georgia for the procurement of Windows laptop devices for staff use across the district. CCSD is seeking quotes for approximately 500 staff laptops available through four distinct options: two HP laptop configurations and two Dell laptop configurations. All devices must meet general specifications including Windows 11 Pro operating system, Wi-Fi 6E capability, USB-C docking compatibility, Full HD display minimum, TPM 2.0 support, and enterprise-class design suitable for educational environments. The RFQ offers vendors the flexibility to submit pricing for any or all options listed. Responses must be submitted through the CCSD Bonfire Portal no later than Monday, June 1, 2026, at 4:30 PM EDT. CCSD anticipates completing the review process and moving forward with purchasing within approximately two weeks following the response deadline, contingent upon final funding availability and approval processes. Questions regarding the RFQ should be directed to Dr. Shannon Carroll, Executive Director Technology Operations.

All pricing quotations must be based on a quantity of 500 devices per option and must identify the governmental purchasing contract or cooperative purchasing agreement used to secure pricing. The four options vary primarily in manufacturer selection and warranty coverage levels, with Options One and Two featuring HP laptops with 4-Year CarePacks (with Option Two including Accidental Damage Protection), and Options Three and Four featuring Dell laptops with 4-Year Hardware Support (with Option Three including Accidental Damage Protection). All devices must include two USB-C power adapters, integrated webcams, and privacy shutters on certain models. Vendors must provide factory-integrated asset tagging with a silver-colored 3" x 1.5" asset tag containing specific data points and a comma-separated value (CSV) file for inventory management system integration. CCSD field-based technicians maintain Dell and HP certifications through manufacturer self-maintainer programs, and proposals related to additional managed services, deployment services, or support offerings outside the specified requirements will not be considered.
