About this file

This is a Request for Information (RFI) issued by the Town of Parker, Colorado, seeking vendor information regarding Enterprise Asset Management (EAM) technology solutions. The Town retained Berry, Dunn, McNeil & Parker, LLC (BerryDunn) to conduct an Enterprise Resource Planning (ERP) needs assessment and is evaluating potential EAM solutions to support asset management, work order management, preventative maintenance, inventory, fleet, facilities, parks, streets, stormwater, traffic, and inspection functions. The RFI focuses on three functional areas: Enterprise Asset Management, Work Orders, and Inspection & Inventory Management. The submission deadline is June 19, 2026, at 10:00 a.m. MST through the Euna Procurement portal, with questions due by June 12, 2026, at 10:00 a.m. MST. The Town serves a population of 72,147 with a fiscal year budget of $328,460,952. The scope encompasses significant operational assets, including 30 town buildings totaling 599,794 square feet, 17 parks, 320 roadway miles, 44 bridges, and 9,300 signs, generating approximately 43,518 work orders annually across facilities, parks, and infrastructure functions.

Vendors are requested to provide general pricing information organized into specific cost categories including software licensing and subscription fees, professional services, hardware, travel expenses, interface development costs, data conversion, and other additional costs, with separate estimates for recurring SaaS costs and optional services. The Town currently operates a hybrid technology environment combining Beehive, FASTER, GIS-related tools, Caselle, spreadsheets, and paper-based processes. This RFI does not constitute a commitment to issue a formal Request for Proposals, award a contract, or reimburse vendors for response preparation. Responding to this RFI does not guarantee selection for any subsequent RFP or preclude vendors from future procurement opportunities. The Town has not implemented a prequalification process, and all vendors are eligible to respond.

Cover Sheet https://parkeronline.bonfirehub.com/portal/?tab=openOpportunities mailto:cellis@parkeronline.org

The Town of Parker, Colorado (Town), retained Berry, Dunn, McNeil & Parker, LLC (BerryDunn) to help evaluate and plan for the optimization and/or replacement of its existing technology environment through a broader Enterprise Resource Planning (ERP) needs assessment. As part of this effort, the Town is evaluating its current Enterprise Asset Management (EAM) environment and exploring potential solutions to better support asset management, work order management, preventative maintenance, inventory, fleet, facilities, parks, streets, stormwater, traffic, inspections, reporting, and related operational functions.

Currently, the Town’s asset and maintenance management environment is supported by a combination of systems and tools, including but not limited to Beehive, FASTER, GIS-related tools, Caselle, spreadsheets, paper-based processes, and other departmental or supporting applications. While these tools support current operations, the Town is seeking information from the vendor marketplace to better understand available EAM software solutions, implementation considerations, mobile field capabilities, GIS integration, work order functionality, asset lifecycle tracking, preventative maintenance, inventory management, reporting capabilities, and opportunities to streamline workflows across departments.

This issuance of this RFI does not constitute a commitment to issue a request for bids/proposals, award a contract, or pay any costs incurred in preparation of a response to this RFI. The Town requires that all responding vendors abstain from providing any actual quotes or bids in response to this RFI. Pricing, if offered, should be general and is intended to help the Town prepare internal budgetary estimates, inform internal resource and staff planning levels, and educate Town staff on available solutions in the marketplace.

Any information received in response to this will assist the Town’s leadership and project team in determining the Town’s next steps regarding modernization efforts. Information from this RFI may assist the Town in finalizing the scope of work and requirements which may be included at a future date in the issuance of a Request for Proposals (RFP). Submitting a response to this RFI is not a guarantee in any way that a vendor will be selected for any subsequent RFP, nor does it preclude any vendor from responding to future procurement opportunities.

The functional areas in scope of the RFI include the following:

System Functional Areas

1 Enterprise Asset Management

2 Work Orders

3 Inspection & Inventory Management As part of this phase of the project, BerryDunn is contacting the vendor community to understand the availability of modules, functionality, and the related timeline and cost with implementing a new system(s). Information collected from this will inform the Town’s future planning process.

The Town does not intend to award a contract on the basis of this RFI response nor will the Town pay for the preparation of any information submitted. Although "proposal" and "proposer"' may be used in this RFI, responses will be treated as information only. It shall not be used as a proposal.

The Town has not employed a prequalification process. No vendors are either prequalified or precluded from responding to this RFI, and this process will not serve as a prequalification for any potential RFP that is released in connection with this initiative.
