About this file

This is a Scope of Work document for the Osage Nation, an Oklahoma-based tribal government, soliciting proposals for comprehensive fire systems inspection and maintenance services. The Osage Nation requires a qualified contractor to perform regular inspections, testing, maintenance, and repairs on all fire detection and suppression systems across the nation's facilities. The scope encompasses services such as fire alarm system inspections, sprinkler system testing and maintenance, fire extinguisher servicing, emergency lighting inspections, and associated documentation and reporting. The contract term is for one year with the possibility of renewal for up to four additional one-year periods at the Osage Nation's discretion. Specific response deadlines, site visit requirements, and bidder conference details are contained within the procurement documents, with award decisions to be made based on contractor qualifications, experience, pricing competitiveness, and ability to meet the nation's operational requirements.

Pricing shall be submitted on a unit cost basis for various service categories, including monthly inspection fees, emergency repair rates, and call-out charges. The Osage Nation may consider all qualified vendors without set-asides or incumbent preferences. Contractors must demonstrate adequate insurance coverage, including general liability and workers' compensation, and provide references from similar tribal or municipal clients. Funding for this contract derives from the Osage Nation's operational budget, with amounts dependent on actual service utilization throughout the contract period. Interested vendors must comply with all applicable tribal procurement regulations and applicable federal requirements for Indian-owned businesses where applicable.
