About this file
This is a Statement of Work and Bidder Response Form issued by the Colorado Department of Corrections (CDOC) for a Documented Quote to procure cameras, accessories, and components to modernize and upgrade the Security Camera System at San Carlos Correctional Facility (SCCF). The solicitation seeks qualified suppliers to provide camera equipment as specified in Exhibit D – Price Quote, with the understanding that additional camera equipment and components not listed in the solicitation may be requested by other DOC facility locations during the award period. Delivery is required to La Vista Correctional Facility located at 1410 West 13th Street, Pueblo, Colorado 81003. Suppliers must provide a minimum of three calendar days' written notice if unable to meet delivery schedules, and failure to deliver on three separate occasions within the agreed-upon timeframe may result in disqualification from participating in future solicitations for three years or indefinitely. CDOC staff are responsible for equipment installation, and the department will notify the awarded bidder of any functionality issues requiring return and replacement.
All pricing must be itemized as shown in Exhibit D and is considered all-inclusive with no additional shipping, surcharges, or taxes to be paid by CDOC. Pricing shall remain firm during the term of the Purchase Order, though CDOC reserves the right to consider annual price increases not exceeding 2.5% per fiscal year if mutually agreed upon. Bidders may submit equivalent quality products if brand names and specifications listed are not available, subject to approval for compatibility. Invoices must be submitted via email to the Accounts Payable Office by the 15th of each month. Bidders must complete and return all exhibits (A through G) and answer vendor questions regarding business registration, compliance certifications, SDVOSB status if applicable, litigation history, and tax payment status. Before contract execution, awarded bidders must be registered to do business in Colorado and, if foreign corporations, must maintain a certificate of authority and designate a registered agent in the state.
