About this opportunity
The City of Gainesville, Florida, acting through the Gainesville Police Department (GPD), is issuing a Request for Proposal (RFP) for comprehensive video production services. The procurement seeks a qualified vendor to provide professional video recording, production, editing, post-production services, and graphic design suitable for television and official public communications. Deliverables include an anticipated 2-3 broadcast-ready, professional-quality videos per month, typically not exceeding 5 minutes in length, with standard turnaround times of 7 business days for post-production editing and 1-2 business days for final delivery following approval. Videos will support crime prevention, police recruiting, social media engagement, and community interest purposes, with all projects becoming the exclusive property of GPD under strict confidentiality requirements. Qualified vendors must be Florida-licensed companies with a minimum of three years' experience in video production, professional-grade equipment capable of recording in both 1080p Full HD and 4K resolution, professional-grade audio and lighting equipment, and a studio location within Alachua County, Florida. Vendors must submit three professional sample videos and three client references as part of their proposal. The pre-proposal meeting is non-mandatory, with a question submittal deadline of April 8, 2026, and proposals due on April 15, 2026, at 3:00 p.m. Eastern Time. The initial contract term is two years with three optional one-year extensions available, with pricing structured as a fixed monthly fee for twenty-five hours of service, with unused hours carried forward monthly and prices remaining firm for the first two years.
Vendors must comply with all federal, state, and local requirements, including E-Verify participation, drug-free workplace certification, non-discrimination policies, living wage requirements, and public records laws; however, no specific set-asides for disadvantaged enterprises or minority-owned businesses are mentioned in the procurement documents. No incumbent vendors or current contractors are identified, and no existing infrastructure or technology integration requirements are specified. The RFP does not provide a specific budget range or award value; pricing is determined through vendor proposals with the requirement that any price adjustments for years three and beyond be limited to the percentage increase in the U.S. Bureau of Labor Statistics National Consumer Price Index. The projected award date and contract start date are to be determined at the time of vendor selection.
