About this opportunity
Rensselaer County is soliciting bids for a comprehensive Vehicle Parts and Related Supplies contract, seeking vendors to provide automotive maintenance products including engine oils, motor oils, transmission fluids, brake fluids, coolants, lubricants, electrical parts, filters, hoses, belts, and related automotive supplies. The bid opportunity is structured as an open-end award, with potential vendors selected on an item-by-item basis offering the lowest costs to the County, in accordance with NYS General Municipal Law 103 and Finance Law 163. The procurement targets multiple county departments including Auto Maintenance, Sewer District, and Highway Departments, with estimated quantities based on current usage. Bids are due on Tuesday, October 28, 2025, at 10:00 a.m., with an initial contract period of one year and potential for a 12-month renewal. Vendors must provide a fixed percentage discount from list price for each item, maintain consistent pricing throughout the contract, and commit to 24-hour turnaround for operational vehicle parts and two-business-day delivery for routine stock items, with delivery locations in Troy, New York.
The bid opportunity is open to all qualifying vendors, with no specific set-aside designations mentioned in the documentation. Political subdivisions throughout New York State are explicitly authorized to participate under the same pricing and terms as Rensselaer County. While no specific budget range is detailed, the bid allows for partial bidding and provides flexibility for the county to reject any or all bids and potentially re-bid if deemed in the county's best interest. No bid surety is required, and vendors must complete non-collusive bidding certifications and comply with local law requirements. The procurement approach emphasizes best value and competitive pricing, allowing Rensselaer County to potentially purchase from alternative sources if more favorable pricing is available. The contract's inclusive structure suggests a potentially significant procurement opportunity for automotive parts and supply vendors operating in the New York region.
