About this opportunity
The State of Maine is requesting bids for a two-year Kodak scanner lease and service contract, with bids due January 11, 2012.
The procurement covers a Kodak i4600 scanner, a high-speed, production-class document imaging system rated for up to 600 pages per minute in black and white and color modes at 600 dpi resolution. The i4600 features automatic document feeding with 500-sheet capacity, processes documents ranging from 2.5 by 3.5 inches to 8.5 by 14 inches, and includes automatic color detection, skew correction, and blank page removal. The scanner integrates into existing document management systems via network connectivity and is designed for high-volume enterprise scanning environments.
Bidders must submit responses electronically using prescribed forms, with separate unit prices for each item unless otherwise specified. The State reserves the right to accept alternate commodities deemed equal in quality and performance, provided bidders submit complete identification and descriptive literature. Delivery terms, time frames, and cash discounts under 20 days must be clearly stated; such discounts are not considered in award determinations due to standard accounting procedures. All transportation charges, including freight and express delivery, must be prepaid by the contractor unless otherwise specified. The State is exempt from Federal and Maine State Sales and Use Taxes and expects quotes without these taxes.
The Division of Purchases reserves the right to increase or decrease ordered quantities by up to 10% and to reject any or all bids. Awards will be made to the lowest responsible bidder offering the best overall value, considering quality, conformity with specifications, delivery date, and total cost. In the event of contractor default, the State may procure materials from alternative sources and charge excess costs to the contractor, though contractors are not liable for delays caused by strikes, fires, acts of God, or other causes beyond reasonable control. Hazardous chemical manufacturers, importers, suppliers, or distributors must provide current material safety data sheets as required by Maine's Chemical Substance Identification Law.
