All quotations must be submitted to the Palm Beach County Purchasing Department no later than 4:00 p.m. Palm Beach County Local Time on April 23, 2019, via fax or email. Award will be made on an item-by-item basis for the eight individual items and on a lot-by-lot basis for Lot #1, with the initial contract term set at twelve months or until the estimated amount is expended at the County's discretion. Vendors must provide firm, fixed unit pricing with no escalation clauses, and prices must remain constant throughout the initial term and any renewal periods. Vendors offering equal products rather than the specified manufacturer/brand must submit complete manufacturer cut sheets and descriptive literature demonstrating compliance with specifications. All vendors are required to register in the County's Vendor Self Service (VSS) system, with subcontractors also required to be registered before contract finalization. Quoters must complete and submit Schedule 1 and Schedule 2 documentation if utilizing subcontractors or if S/M/WBE participation is claimed. The successful vendor shall have the option to renew for four additional twelve-month periods upon mutual written agreement, subject to Board appropriation and maintenance of all original terms, conditions, and unit prices. Payment will be rendered only upon County satisfaction and acceptance of delivered items, with invoicing directed to the Palm Beach County Finance Department. No specific budget range or award value is disclosed in the solicitation documents.
