About this opportunity

The Commonwealth of Kentucky Cabinet for Health and Family Services (CHFS), Division of Procurement and Grant Oversight, on behalf of the Office of Health Data and Analytics and Kentucky Health Information Exchange, is soliciting sponsorships for the 2019 eHealth Summit, a two-day educational conference scheduled for August 15-16, 2019, at the Lexington Griffin Gate Marriott Resort and Spa located at 1800 Newtown Pike, Lexington, Kentucky. This sponsorship opportunity targets healthcare providers, hospital administrators, government officials, medical staff, and affiliated healthcare agencies to educate attendees on CHFS initiatives, Kentucky Health Information Exchange services, and the Promoting Interoperability program through speakers, Q&A panels, and networking events. Two sponsorship levels are available: the "Renovator" Sponsor tier at $20,000 (one sponsorship available) and the "Friends of KHIE" Sponsor tier at $3,000 (up to twelve sponsorships available). The Renovator package includes a full-page program advertisement, paragraph recognition inside the back cover, a five-minute introduction at the summit, a twenty-minute presentation opportunity, fifteen complimentary registrations, premium exhibit booth space with a six-foot skirted table and banner, Wi-Fi access, meals, corporate logo display, and recognition on event slides. The Friends of KHIE package includes a half-page program advertisement, premium exhibit booth space with similar amenities, six complimentary registrations, and the same access to events and meals. Technical responses must be submitted by Friday, July 26, 2019, at 4:00 p.m. (EDT) to Sarah Smith at CHFS, 275 East Main Street, 4E-C, Frankfort, Kentucky 40601, with three copies required in clearly marked sealed envelopes. Evaluation criteria allocate 30 points to responsiveness to the solicitation and 70 points to the sponsorship response content, including evidence of prior sponsorship experience, alignment with agency goals, and capability to meet obligations. Selected sponsors must provide payment within thirty days of notification of selection.

The solicitation does not specify set-aside designations or restrictions limiting response to particular business classifications or disadvantaged enterprises; however, the CHFS reserves the right to reject any sponsors whose branding, image, or mission conflicts with the agency's goals or mission, effectively imposing mission-alignment restrictions on eligible respondents. No incumbent vendors or existing contractors are identified in the available solicitation documents. No specific technology integration or infrastructure requirements are referenced. The total potential award value ranges from $63,000 to $83,000, calculated from the Renovator Sponsor level at $20,000 (one available) plus the Friends of KHIE Sponsor level at $3,000 multiplied by up to twelve available sponsorships, representing the maximum potential sponsorship revenue for the 2019 eHealth Summit.
