About this opportunity

The State of Maine Division of Purchases is soliciting bids for specialty hardwood lumber — ash and birch — with quotes due July 23, 2013 at 2:00 p.m. local time via electronic submission.

The contract covers ash and birch lumber (with optional extension to oak and cedar) meeting #1 Common or Better grade, kiln-dried to 6–8% moisture content. Ash and birch require minimum 4-inch width; dimensional lengths range from 6 to 10 feet. All lumber ships rough (unplaned), banded and wrapped for protection, with delivery F.O.B. Destination and transportation charges prepaid by the contractor. Unit prices must be submitted separately by product type and board-foot quantity as specified in the price sheet template.

The estimated yearly contract value is approximately $70,000, though the State reserves the right to increase or decrease ordered quantities by up to 10 percent, and actual spend may exceed or fall short of the estimate. The contract term runs August 1, 2013 through July 31, 2014 with an option for one additional one-year renewal at the contractor's consent. Pricing must remain firm throughout the contract period.

Awards go to the lowest responsible bidder offering best value, with evaluation considering quality, conformity to specifications, purpose of use, delivery date, and overall economy. Bidders must provide Material Safety Data Sheets for any hazardous chemicals. The State accepts the Procurement Card as a form of payment with no surcharges permitted. Delivery orders under $5,000 are emailed directly to vendors; those exceeding $5,000 require prior Division approval. Invoices must reference the Master Agreement and Delivery Order numbers and be issued within 30 days of delivery.

All questions must be submitted through the official Q&A portal on the solicitation details page; responses obtained through other channels are invalid. The State reserves the right to reject any or all quotes and waive any formality or technicality.
