Specialty Hardwood Lumber Contract Terms and Conditions

This document presents contract terms and conditions for specialty hardwood lumber procurement by the State of Maine through its Division of Purchases. The contract covers the supply of four types of hardwood lumber—ash, birch, oak, and cedar—to meet the normal requirements of various state agencies and institutions. The contract period runs for one year, beginning August 1, 2013 and ending July 31, 2014, with an option for the State to renew for one additional one-year period with the contractor's consent. Product specifications are detailed for each lumber type, including requirements for grade (#1 common or better), kiln drying with moisture content of 6-8%, dimensional specifications (ranging from 4 inches and up in width and 6 to 10 feet in length), and delivery conditions (rough with no planed surfaces, banded and wrapped for protection).

The estimated yearly contract value is approximately $70,000, though the actual value will cover all quantities ordered by state agencies during the contract term, whether exceeding or falling short of this estimate. Pricing shall remain firm throughout the contract period, with all transportation charges included F.O.B. Destination. The State of Maine requires vendors to accept the State Procurement Card as a form of payment with no surcharges permitted. Delivery orders under $5,000 are emailed directly to vendors, while those exceeding $5,000 require approval and encumbrance through the Division of Purchases' Buyers before distribution. Invoices must be submitted separately for each order, referencing the Master Agreement and Delivery Order numbers, and should be issued within 30 days of delivery. The State reserves the right to cancel the contract with thirty days' written notice or immediately if the contractor fails to conform to contract terms and conditions.
