About this opportunity

Kent Intermediate School District is soliciting sealed bids for UPS maintenance of network electronics under E-Rate Basic Maintenance of Internal Connections (BMIC) for fiscal years 2027 and 2028, with bids due November 20, 2026 at 2:00 p.m. An addendum moved the bid due and opening date from October 27, 2026 to November 20, 2026. The award is contingent on USAC/SLD E-Rate funding approval, and the district may reduce scope if funding is insufficient. No set-aside or preference program applies.

The scope covers maintenance of 66 Vertiv UPS units across eleven school district locations: five models with quantities from 1 to 23 per model, plus twelve extra battery cabinets. Bidders must submit a Bill of Materials in Excel format listing manufacturer part numbers and unit costs, and must separately identify E-Rate eligible and ineligible services with estimated hours and materials for each repair and upkeep task, because E-Rate reimburses only actual work performed. Bidders must provide four references, one of which must be a school or school district. Prevailing wage requirements apply under Michigan Public Act 10 of 2023, and contractors must meet criminal background check, workers' compensation, automobile liability ($1,000,000 per accident), and commercial general liability ($1,000,000 occurrence) requirements. Bids require a five percent bid bond for totals of $31,321 or more.

Service is scheduled to begin July 1, 2027 and run through June 30, 2028 under a three-year contract, with an annual January contact to assess additional UPS needs. Contract execution is anticipated by December 3, 2026. Bids must be submitted electronically through the Triple R bidder portal, and bidders request portal access from Jeremy Flores at jeremy@triple-r.us. The district will evaluate bids primarily on price, with secondary consideration of product quality, service, delivery, maintenance, adherence to specifications, past performance, vendor reliability, warranties, and facility familiarity. The district may award separate portions to different vendors. No facility walkthroughs are scheduled, and the addendum closes further questions and answers.
