About this opportunity
The Savannah-Chatham County Public School System (SCCPSS) in Georgia is requesting proposals for library media books, non-print resources, and support services to serve approximately 51 media centers under RFP 27-02, with proposals due August 11, 2026 at 11:00 a.m. The solicitation seeks to establish one or more qualified full-service suppliers capable of guaranteeing a percentage discount for orders exceeding $5,000.
Vendors must provide comprehensive cataloging and processing services aligned with Follett Destiny system compatibility, including US MARC records, Dewey classification, Sears List Subject Headings, and Code-39 bar coding. Materials must be delivered in call number order with inside delivery and vendor responsibility for unboxing and shelving on new core collection installations. Vendors must supply eBook platforms (children and young adult audiences) with patron authentication, configurable checkout periods, multi-device download capability, and web-based collection development and analysis tools. Required service amenities include dedicated account representatives, free shipping and handling, free item processing, free cataloging with full US MARC records for 100 percent of materials, free security strips, and free collection development tools. Price quotes must remain firm for 60 days minimum, with no additional fees for out-of-stock or small-publisher titles.
Proposals must include company information, detailed scope-of-services compliance documentation, minimum three references from similarly sized districts, and pricing across elementary and secondary print materials, non-print items (CDs, DVDs, audiobooks), eBooks, pre-binds, and paperbacks in multiple formats. Sample cataloging records for two titles each across eight material categories must be submitted. Proposals remain valid for 120 days from submission.
The contract term is annual, with District options to extend for two additional one-year periods by mutual written agreement. The contractor must carry commercial general liability ($1,000,000 per occurrence / $2,000,000 aggregate), commercial automobile liability ($1,000,000 combined single limit / $2,000,000 aggregate), workers' compensation at statutory limits, and umbrella coverage ($1,000,000 per claim and aggregate). All goods must include a 12-month manufacturer's warranty. Addendum 1 (posted July 13, 2026) corrected the proposal closing time to 11:00 a.m.; acknowledge receipt on Form 1, Section H.
