About this opportunity

Coastal Carolina University (CCU) is conducting a Request for Quote (RFQ) under small purchase procedures to procure two complete portable stage systems for use at speaking and performance engagements at its Conway, South Carolina campus. The solicitation (CCU-9300760) seeks identical equipment sets for two locations: the Allen Ballroom in the Singleton Building (Group P1) and the Reading Room in Kimbel Library (Group P2). Each group requires six stage risers (4' x 8' x 16" fixed height with dual-sided commercial-grade carpet and slip-resistant vinyl/polypropylene decking), three chairstops (2" thick), eight riser skirts (four 8' x 16" and four 4' x 16"), two portable stairs with handrails and casters, and delivery services with inside delivery. All items must be new, portable with casters for transport, and foldable. Sealed offers must be submitted online through the Business Opportunities website at https://bids.sciquest.com/apps/Router/PublicEvent?CustomerOrg=CoastalCarolina by February 11, 2026, at 11:00 AM EST, with questions due by February 6, 2026, at 11:00 AM EST. Award will be made to the lowest responsible and responsive bidder on an item-by-item basis, and offerors must provide manufacturer's literature with complete product specifications, unit pricing, operational manuals, and a one-year warranty covering defective goods or workmanship. All pricing must be fixed, include all associated costs with sales or use taxes excluded, and reflect commercially available off-the-shelf products (COTS).

This procurement contains no state set-asides, disadvantaged enterprise designations, or restrictions on the types of organizations that can respond; however, nonresident contractors must comply with South Carolina Code Section 12-8-550 regarding state tax withholding requirements, with a 2% withholding on payments to nonresidents unless specific exemptions apply or Form I-312 is submitted to the South Carolina Department of Revenue. No incumbent vendors, current contractors, or integration requirements with existing infrastructure are identified in the solicitation documents. The RFQ is being conducted under South Carolina Code Section 11-35-1550 for commercially available off-the-shelf products with no state preferences applicable, and the university reserves the right to inspect, reject, and return non-conforming equipment at the contractor's expense. Contract terms and conditions are non-negotiable, and offers that object to, qualify, or supplement these terms may be deemed non-responsive. No specific budget range or award value is disclosed in the available documentation, and this is a one-time purchase that terminates upon completion of obligations by both parties.
