About this opportunity

The City of Austin is issuing an Invitation for Quotation (IFQ) for professional photography cameras and accessories to support various departmental needs. The procurement includes seven specific line items: two camera bodies (Canon EOS R5 with 24-105mm f/4L USM lens and Canon EOS R6 Mark II with 24-105mm f/4-7.1 lens), two battery packs (Canon LP-E6P lithium-ion), two battery chargers (Canon LC-E6), memory cards (SanDisk Extreme Pro CF Express 128GB and Lexar Pro SDHC/XC 1667X UHS2 128GB 2-pack), and two card readers (Xcellon CFExpress Type B and SD card reader). Quotes are due on March 27, 2026, at 4:00 PM and must be submitted via email to Andre Colbert at Andre.Colbert@austintexas.gov. The selected vendor must be an authorized dealer/reseller capable of delivering all ordered items within 30 calendar days to the Transportation and Public Works Department at 5202 E Ben White Suite 550, Austin, TX 78754, during business hours (Monday-Friday, 8:00 a.m. to 3:00 p.m.). Upon request, offerors must provide sample products within ten working days at no cost to the City. Award will be made to the lowest-priced offer meeting minimum requirements, with all quotes submitted on an FOB Destination basis with freight charges included in item prices. The City reserves the right to compare quotes on individual line items, categories, aggregate price, or other bases determined most advantageous to the City, and offerors must certify compliance with non-discrimination policies, non-debarment from federal contracting, and wage theft ordinance compliance.

The IFQ follows a phased award process wherein initial notices are distributed exclusively to certified Historically Underutilized Businesses (HUBS) or Minority/Women-Owned Business Enterprises (M/WBE) vendors through State of Texas and City systems. If adequate quotes are not received from certified contractors, the solicitation will be posted online at the Austin Finance Online website and distributed to all vendors registered for applicable commodity codes. The City of Austin is exempt from federal excise and state sales tax, and tax must not be included in quoted prices. Payment terms provide for compensation within thirty days of receipt of properly documented invoices contingent upon satisfactory delivery or service performance. The solicitation documents do not specify a total budget range or award value; however, the quote sheet serves as a blank submission template where vendors must provide unit and extended prices for all seven line items. All offers are subject to public disclosure under Texas Government Code Chapter 552, with offerors permitted to mark portions other than the Quote Sheet as "Proprietary" for the City's discretionary protection.
