The unit must be compatible with 500 ml ink cartridges, 500 ml cleaning cartridges, and a 110-volt, 8-outlet surge suppressor/protector. The successful vendor must provide delivery and installation to 3700 Belvedere Road, Building C, West Palm Beach, Florida 33406, with deliveries required Monday through Friday between 8:00 a.m. and 4:00 p.m., and must notify the Airport representative at least 24 hours prior to delivery. Pricing must remain firm for 90 days from the opening date and be submitted as a single, fixed unit price with no escalation clauses. The successful vendor is responsible for all costs including shipping, inside delivery, labor, installation, on-site training, and setup, with payment rendered only upon the County's satisfaction and acceptance. The County will award this quotation to the lowest responsive, responsible quoter on an all-or-none, total offer basis.

Small/Minority/Women Business Enterprise (S/M/WBE) vendors certified by Palm Beach County at the time of quote submission may receive preference consideration if their quote is within 10% of the lowest responsive, responsible vendor. Additionally, a 5% preference may be applied to responsive, responsible local businesses or Glades businesses. The successful quoter must furnish factory/manufacturer warranty on all items and equipment against defects in materials or workmanship, effective from the delivery and acceptance date, with repair or replacement provided at no cost to the County during the warranty period. Insurance requirements include Commercial General Liability Insurance at $500,000 per occurrence, Business Auto Liability at $500,000 combined single limit, and Workers' Compensation Insurance in accordance with Florida Statute Chapter 440. No incumbent vendors or budget values are specified in the procurement documentation. The contract is subject to S/M/WBE and local preference provisions as outlined in County policy.
