About this opportunity
The Village of Port Chester in Westchester County, New York, is seeking proposals for a Prepared Meals for Senior Nutrition Program (Bid #2025-13) to provide daily hot and cold meals for senior citizens. The contract aims to serve approximately 172 congregate meal participants and 38-50 home-delivered meal recipients six days per week. Meals must meet specific nutritional requirements established by Westchester County and the National Nutrition Program for the Elderly, satisfying one-third of the Dietary Reference Intakes and including a balanced mix of meat, fish, poultry, vegetables, grains, and dairy. The selected contractor will be responsible for meal preparation, delivery, and providing all necessary utensils and supplies. A mandatory site visit and interview is scheduled for August 4, 2025, at 3:00 p.m. at the Port Chester Senior/Community Center, with bid submissions due by August 7, 2025, at 3:00 p.m. Bids must be submitted electronically on a USB flash drive and as a single original hard copy in a sealed envelope marked with the bid number. The Village reserves the right to accept or reject any bids and make awards based on the best interests of the municipality.
The contract appears to be open to all qualified food service vendors without specific set-aside designations for disadvantaged enterprises. The anticipated contract term is approximately three years, ending May 31, 2028, with the potential for a one-year extension. Contractors must maintain comprehensive insurance coverage, including general liability, automobile liability, and workers' compensation, with specific required coverage amounts. While specific budget ranges are not explicitly stated, the Village will compensate the contractor based on the submitted cost proposal, with monthly invoicing and payment within thirty days of invoice submission. The procurement process requires careful attention to detailed specifications, including nutritional standards, meal composition, delivery requirements, and comprehensive insurance documentation. Potential bidders should carefully review the full bid package available on the Village's website (www.portchesterny.gov/Bids.aspx) or in person at the Village Clerk's office to ensure full compliance with all contract requirements.
