About this opportunity

Colorado Mountain College's Information Technology Department is seeking proposals from qualified Tier 1 microcomputer manufacturers and value-added resellers (VARs) to establish a contract for Microsoft Windows-based computing equipment. The procurement encompasses desktop computers, laptops, workstations, and Chromebooks, with the college planning to replace approximately one-fourth to one-fifth of its devices annually on a 4-5 year replacement cycle. Mandatory qualifications include at least ten consecutive years in business, financial stability, and capability to manage large institutional purchases. All proposed equipment must be business-class, FCC compliant, UL listed, Windows 10 certified, and Section 508 compliant, with a minimum 4-year on-site repair warranty including parts and labor. Key proposal requirements include providing toll-free technical support, maintaining same-day response representatives, conducting two annual in-service presentations, and offering online portal capabilities for quote building and order tracking. The solicitation timeline includes questions due by November 5, 2025 at 2:00 p.m., proposals due November 13, 2025 at 2:00 p.m., vendor short-listing by December 1, 2025, and a target award date of December 8, 2025.

The procurement does not specify specific set-aside designations or restrictions on responding organizations beyond the Tier 1 manufacturer and VAR requirement. The college reserves the right to make multiple awards or no award and will evaluate proposals based on overall quality, company qualifications, pricing, warranties, references, reputation, environmental initiatives, and service capability. While no specific funding amounts are identified, the procurement is contingent upon funds being appropriated by the CMC Board of Trustees. Vendors must comply with Colorado Open Records Act, federal equal employment opportunity requirements, workers' authorization verification, and provide comprehensive insurance coverage, including $1,000,000 in Commercial General Liability and Technology Errors & Omissions coverage. The contract term is flexible, ranging from one to three years, with orders to be received by June 30th of each contract year. Although no precise budget is specified, the college anticipates purchasing several hundred computers during the contract period, with one large order typically occurring around June and potential additional purchases throughout the year.
