About this opportunity

The University of Central Florida Procurement Services is issuing an Invitation to Bid (ITB 2025-13MCSA) for the purchase of multimedia equipment, systems, and associated accessories to establish a master contract for supply across multiple product categories. The procurement is open to manufacturers, large resellers, and authorized dealers capable of providing projectors, displays, conferencing equipment, audio processors, cameras, microphones, control systems, switchers, cables, mounting hardware, furniture, and related technologies. The contract is anticipated to commence July 1, 2026 and run through June 30, 2027, with renewal options not to exceed five years or twice the length of the original term, whichever is longer. The deadline for submitting questions is May 1, 2026 at 5:00 PM EST, with proposals due May 21, 2026 by 3:00 PM EST via the Bonfire Web Portal and a virtual bid opening scheduled for the same date and time. Evaluation will be based on the largest average percentage discount from Manufacturer's Suggested Retail Price (MSRP) per lot, with vendors required to bid on all product categories within a manufacturer lot to be considered responsive. All prices must be firm and include shipping costs and liftgate charges, with delivery specified as FOB destination within a specified timeframe after purchase order receipt. The university is tax-exempt and will not pay sales, use, or excise taxes, and suppliers must maintain current W-9 forms on file and submit invoices to kNEXT in Orlando, Florida.

The solicitation document does not indicate specific set-aside designations or restrictions limiting the types of organizations eligible to respond, suggesting the opportunity is open to qualified private sector vendors meeting the specified qualifications. No incumbent vendors or current contractors are identified in the available documentation. As technology evolves during the contract term, new products added to manufacturer lines will be included under the same discount structure, requiring suppliers to provide updated manufacturer catalogs every six months and maintain consistent discount rates. The contract includes provisions for trade-in negotiations, equipment substitution with proof of equivalency, and price adjustments based on extreme market volatility or manufacturer policy changes. No specific budget range or award value is disclosed in the procurement documents, though the university reserves the right to make multiple awards per product lot and may increase or decrease quantities as necessary based on organizational needs throughout the contract period.
