About this opportunity

Eaton Rapids Public Schools, located in Eaton County and East Grand Rapids City, Michigan, is issuing a Request for Proposal (RFP) for comprehensive moving services to relocate furniture, classroom supplies, and materials across five school buildings during June 2026. The procurement encompasses four distinct moving phases: relocating materials from Greyhound Intermediate School to Eaton Rapids Middle School (June 10-11); from Lockwood Elementary to Greyhound Intermediate School (June 12-15); from Greyhound Central Elementary to Lockwood Elementary (June 16-17); and from Greyhound Early Learning Center at Union Street to Greyhound Central Elementary (June 29-30), with material delivery to all five schools scheduled for March 30-April 3, 2026. Proposals must be submitted in three sealed copies by Thursday, March 19, 2026, at 2:00 PM local time to Mr. Kevin Dufresne, with a mandatory pre-bid meeting and facility walkthrough scheduled for Thursday, March 12, 2026, at 4:00 PM at the Administration Building located at 912 Greyhound Drive, Eaton Rapids, Michigan. Bidders must submit a single lump sum fee covering all labor, materials, equipment, taxes, warehousing, delivery, insurance, overhead, and profit for each moving phase, and may optionally provide hourly rates for additional services outside the original scope. The selected contractor must maintain comprehensive general liability insurance with minimum limits of $1,000,000 for bodily injury, property damage, automobile bodily injury, automobile property damage, and personal injury per occurrence, assume full responsibility for any damage to school facilities, furniture, or materials during the moving process, and comply with all applicable federal, state, and local codes and regulations, OSHA standards, and school district board policies. All proposals remain irrevocable for sixty calendar days following the submission deadline, and inquiries must be submitted in writing to Kevin Dufresne at kdufresne@erpsk12.org with a cutoff of 2:00 PM EST on March 19, 2026.

The RFP does not specify set-aside designations or restrictions limiting organizational eligibility to respond, nor does it identify any incumbent vendors, current contractors, or existing infrastructure requiring integration. The school district reserves the right to reject any or all proposals, waive irregularities, and award the contract to other than the lowest bidder. No specific award value or budget range has been disclosed in the RFP documentation. The selected contractor will be required to execute the Owner's standard form of contract and provide certificates of insurance meeting specified requirements prior to commencing work.
