About this opportunity

The City of Pasadena Parks, Recreation and Community Services Department is requesting bids for landscape equipment repair and maintenance services with proposals due June 22, 2026 at 3:00 p.m., and questions due June 16, 2026 at 3:00 p.m. Award will be made to the lowest-priced responsive bidder, and pricing must remain valid for the entire contract term from July 1, 2026 through June 30, 2027.

The scope covers repair and maintenance for six equipment categories — chainsaws, hedge trimmers, edgers, leaf blowers, lawn mowers, and weed eaters — with multiple line items per category including tune-ups, carburetor cleaning, spark plug replacement, air filter cleaning, blade sharpening, blade replacement, fuel filter repair, and diagnostic testing. Most line items are priced at 10 units; hedge trimmer grease is 1 unit. Bidders must provide pricing on all line items; incomplete bids will be ruled non-responsive. All pricing must include materials and labor. The selected vendor must maintain a local warehouse within 50 miles of Pasadena City Limits for equipment drop-off and pick-up. Delivery shall be completed within 90 days after receipt of the City purchase order. Price adjustments at the conclusion of the first contract year are permitted only if they do not exceed the Consumer Price Index for the preceding 12-month period.

Bidders must submit the Relevant Experience Form demonstrating five projects of similar scope and size, complete all required City forms including Vendor Questionnaire (Form AA-1), Project Workforce Utilization (Form AA-2), and declaration of legal status, obtain a Pasadena Business License, provide proof of insurance within 10 calendar days of notification, and submit an IRS Form W-9. For contracts valued at $25,000 or more involving labor or services, Form AA-2 is mandatory. Vendors must comply with the City's Equal Employment Opportunity requirements and federal lobbying certifications (44 C.F.R. Part 18 and Standard Form-LLL if applicable). A valid Unique Entity Identifier from SAM.gov is required. The City operates on Net 30 payment terms.
