About this opportunity
Hastings Area School System (HASS) is soliciting proposals for the design, installation, and implementation of an IP-based Valcom PA/intercom system at Hastings High School, with proposals due September 23, 2026 at 1:00 p.m. Eastern Time at the HASS Administration Office, 232 W. Grand Street, Hastings, Michigan. Michigan prevailing wage requirements under MCL 408.1101 et seq. apply; the contractor must pay all mechanics and subcontractors wages and fringe benefits at rates prevailing in Barry County and maintain state project registration for all subcontractors.
The scope includes replacement of the existing Bogen Multicom 2000 legacy system with Valcom IP endpoints — gateways, LCD displays, speakers, horns, communication software (VEIP6K-1), desk-mount interactive consoles (VE8092), two-sided and single-sided LCD screens (VIP-LD222 and VIP-LD221), call-in switches (VE2978), ceiling and wall speakers, paging horns, two-way intercom stations, and Cisco Catalyst 9300 series networking switches with cabling. Addendum #002 specifies installation of two Valcom VIP-LD221 single-sided LCD screens with flashers in the Agriculture Education barn — one on the East wall of the vestibule and one on the North wall replacing the current American Time EverAlert display. The contractor must be a Valcom Engineered Solutions authorized installer or provide equivalent remote technical service support (VETSS). Deliverables include campus assessment, equipment procurement, removal and disposal of existing components, integration with existing VOIP, SIP, multicast, and fire alarm infrastructure, staff training, and post-implementation technical support.
Proposals must include detailed system specifications, implementation timelines, cost breakdowns for hardware, software, installation, training and support, vendor qualifications and references, and warranty terms. An in-person campus walkthrough occurred on September 8, 2026. Evaluation criteria include RFP compliance, technical soundness and compatibility, cost-effectiveness, vendor experience and reputation, and support quality. No specific contract term or budget is stated in the RFP.
