About this opportunity
The City of Philadelphia is soliciting quotes for canopy tents with various logos under a micro purchase contract with quotes due June 4, 2026 at 10:30 a.m. through PHLContracts, the City's eProcurement platform. This is a micro purchase with a maximum contract value less than $43,000, adjusted annually by the Consumer Price Index for All Urban Consumers (CPI-U) from January 1, 2020, rounded to the nearest thousand dollars.
Quotes must be submitted electronically through PHLContracts; faxed or mailed submissions will not be accepted. All vendors must execute the PHLContracts Consent & Authorization Agreement prior to bid closing — vendors may satisfy this by attaching a signed scan to their profile during registration or by including the completed agreement as an attachment to their first submitted quote. Vendors must acknowledge their Local Business Entity (LBE) certification status and complete all mandatory questions. Submission of the LGBTQ Applicant Data Form is voluntary and serves to collect diversity information on LGBTQ-owned businesses; the form also requests disclosure of MBE, WBE, DSBE, DBE, or other third-party certifications.
The canopy tents must meet specified dimensional and material requirements with provisions for custom branding and logo placement, including UV protection, water resistance, and structural integrity. Detailed specifications are provided in the Tent Example document.
The contract term is 365 days from the effective date listed in PHLContracts, with automatic termination and no City obligation for products ordered after expiration. All pricing must be quoted net and exclusive of taxes, with products delivered FOB Destination Point. Successful sellers must maintain workers' compensation insurance at statutory limits, general liability insurance with a minimum of $500,000 per occurrence, and automobile liability insurance with a minimum of $300,000 per occurrence, naming the City as an additional insured. The City reserves the right to reject any and all quotes, accept quotes from multiple sellers, and award to the lowest, responsible, responsive seller. Quoted prices remain valid for 60 days from submission or throughout the contract term.
