About this opportunity

Auburn University at Montgomery is soliciting sealed bids through Request for Proposals AUM-2026-0000074 for campus beverage supply services, with an optional Zoom pre-bid meeting on November 3, 2026, clarification requests due November 6, 2026, and proposals due before 2:00 p.m. CST on November 16, 2026. The RFP carries no set-aside or preference. Small and small disadvantaged business suppliers are to be used where subcontracting is necessary, with reporting throughout performance. The companion file lists the closing as 2:00 p.m. CST on November 17, 2026, the bid opening date.

The contractor must supply all equipment, products, maintenance, repairs, inventory management, and customer service across three categories: one automated dispensing unit at the Warhawk Dining Cafe, approximately 43 vending machines in academic, residential, athletic, and administrative buildings, and exclusive athletic concession beverage supply with visi-cooler equipment at baseball, softball, and arena venues. Vending equipment must accept cash and cashless payment, including credit and debit cards, Warhawk ID cards, and mobile payments. The contractor handles PCI DSS compliance and security incident notification within 72 hours. Required insurance is General Liability of $2,000,000 per occurrence and $3,000,000 aggregate, Commercial Auto Liability of $3,000,000, and Workers' Compensation at statutory limits plus $1,000,000. Bid prerequisites include a notarized Vendor Disclosure Statement, E-Verify Memorandum of Understanding documentation, Alabama tax registration certification, and federal debarment certification.

The term is ten years from the effective date with no renewal options. The University does not state a total contract value. Commissions are calculated on gross sales less applicable sales tax and paid monthly. Pricing accounts for 60 of 100 evaluation points, based on product pricing, commissions, financial support, and value-added contributions. Preferred institutional support in Exhibit C includes $30,000 in annual student scholarships, $20,000 in annual athletics sponsorship, and a $2,500 annual sideline hydration package.

Contracts may be made available to Auburn University and other eligible state entities, each issuing its own purchase orders. Awards may be made in whole or in part, by line item, or as multiple awards. Selected proposers may be asked for oral presentations. If the current supplier is not awarded, a transition plan covering equipment removal and installation over two to three weeks is required. Bids are submitted through the TigerBuy Sourcing Event Portal on an F.O.B. Destination, Freight Prepaid and Allowed basis. Technical and process questions must go through the Q&A Board, as email inquiries will not be addressed. The primary contact is Laura Gray, lsg0008@auburn.edu, +1 334-244-3130.
