About this opportunity
Columbus Consolidated Government is requesting bids on ball field soil conditioners, mound clay, infield mix, field marking paint, and field marking chalk under RFB 23-0006, with bids due August 24, 2022 at 2:30 p.m. EST.
The scope covers medium-grade and fine-grade soil conditioners (estimated 40 and 20 pallets respectively), mound clay (10 pallets), infield mix (250 tons), field marking paint in red, royal blue, and white (200 five-gallon buckets each), and bright white lime field marking chalk (20 pallets). All items are purchased on an as-needed basis. Delivery within 24 hours of order is required due to weather unpredictability and limited storage capacity. All freight, shipping, delivery, and handling charges must be included in unit prices.
The contract term is two years with options to renew for three additional twelve-month periods, contingent on mutual agreement and funding appropriations. The current contract expires November 6, 2022. Pricing is fixed for the initial two-year term; vendors may thereafter request price escalation not exceeding five percent with documented justification. Standard payment terms are net 30 days after receipt of goods.
Vendors must provide a minimum award agreement specifying either minimum line items or minimum dollar value thresholds they will honor, and a minimum delivery order statement. Vendors located in Muscogee County must provide a current City of Columbus Business License; out-of-state vendors must provide Articles of Incorporation or current business licenses from their respective jurisdictions. Award will be made to the lowest responsive, responsible bidder by line item or in total, at the City's discretion. A virtual bidders' conference was available through Microsoft Teams. All required documentation — Material Safety Data Sheets, product literature, warranty information, W-9 forms, and business licenses — must accompany electronic submissions via DemandStar, with virtual bid opening scheduled during the 3:00 p.m. hour on August 24.
