About this opportunity
The University of Texas at Austin Department of Intercollegiate Athletics issued Invitation to Bid No. 721-26066 to procure bagged ice delivery services on an as-needed basis to support athletics and sports medicine operations. The procurement is open to qualified and experienced vendors capable of providing reliable delivery of bagged ice throughout Travis County and the Austin City jurisdictions. Bidders must submit separate bid envelopes that are time-stamped at the University Purchasing Office (1616 Guadalupe Street, UTA Building, Suite 3.302, Austin, Texas 78701) no later than the March 13, 2026 due date, with late bids being ineligible for consideration. The University prefers all bids quoted on an F.O.B. Destination basis with all freight charges included in the bid total and displayed separately. Bidders must indicate the number of days required for delivery under normal conditions, with a default obligation of 14 calendar days if delivery time is not specified. Unit prices shall govern in case of any errors, and all bid prices are considered firm for 30 days following the bid opening date unless otherwise specified. All items must be new, in first-class condition, and delivered in suitable containers for shipment and storage.
By submitting a bid, vendors must provide numerous certifications and affirmations, including confirmation that they have not offered economic opportunities or gifts to public servants, maintain no undisclosed relationships with University employees, are current on all applicable tax obligations, have not violated antitrust laws, comply with equal employment opportunity requirements, and warrant that all products meet federal Occupational Safety and Health Law and Texas Hazard Communication Act standards. Bidders must also understand that the University is exempt from state sales tax and federal excise tax, and therefore tax amounts should not be included in bid submissions. The solicitation does not specify set-aside designations for disadvantaged enterprises, incumbent vendors, existing infrastructure requirements, or award values and budget ranges in the available documentation. The University reserves the right to accept or reject all or part of any bid, waive formalities or technical inconsistencies, delete any requirement, or terminate the solicitation at its discretion. Additionally, bidders are prohibited from assigning any resulting contract without prior written approval from the University's Purchasing Office. Interested vendors should consult the complete ITB documentation, including the Sample Business Services Agreement dated March 14, 2025, and submission instructions for additional details regarding contract terms, performance requirements, and insurance obligations.
