About this opportunity
Forsyth County Schools is conducting a Request for Bid (RFB) to establish a qualified vendor pool for the supply of multi-purpose copy paper on an as-needed basis under solicitation B26-07. The procurement seeks vendors to supply three specific paper formats: 8" x 11" long grain, 8" x 14" long grain, and 11" x 17" multipurpose, all requiring premium bond grade with a minimum brightness of 92 on the TAPPI scale, opacity of 88 or above, and smoothness of 100-200, packaged as 500-sheet reams in corrugated cartons. The district estimates annual consumption of 14,000 to 16,000 cases and will place orders in truckload quantities of 1,680 cases or more, with delivery required to the Procurement and Distribution Center at 2150 Keith Bridge Road, Cumming, Georgia on an F.O.B. Destination basis including tailgate delivery. All paper must be domestically manufactured, first-quality production, and capable of running trouble-free through high-speed copier and printer systems without excessive curling, jamming, or paper dust generation. Bidders must submit samples of at least two reams prior to the bid opening scheduled for May 28, 2026, at 11:00 AM, and must specify delivery times with each quote as delivery performance may be considered in award decisions. The contract term is twelve months from the award date with options to renew for four additional annual periods at the discretion of both parties, with all pricing remaining firm throughout the contract term and covering all delivery and installation charges. Award will be made to the lowest responsive and responsible bidder meeting all specifications and requirements, with Forsyth County Schools reserving the right to award by line item, to multiple vendors, or to reject any or all proposals.
Vendors must comply with federal work authorization requirements by registering with and actively using the federal E-Verify program throughout the contract period, submitting a notarized Contractor Affidavit as required under O.C.G.A. 13-10-91(b)(1), and providing their E-Verify User Identification Number within five business days of receipt. The successful bidder must maintain Commercial General Liability Insurance with limits of at least $1,000,000, Commercial Automobile Liability Insurance with $1,000,000 combined single limits, and Umbrella/Excess Liability Insurance with limits of not less than $2,000,000 per occurrence and aggregate, with Forsyth County Schools named as an additional insured on all applicable policies. Pallets must not exceed 2,100 pounds total weight or five feet in height and must be securely wrapped and banded to prevent damage during transit. Forsyth County Schools is exempt from Federal Excise Tax and State and Local Sales Tax, and vendors should not include taxes in their proposals. No specific budget range is provided in the solicitation documents; pricing will be evaluated based on current market conditions for informational and evaluation purposes, with no minimum order amounts accepted unless specifically called for in the Special Terms and Conditions. Failure to meet delivery dates without written extension approval or to maintain E-Verify enrollment constitutes grounds for vendor removal from the approved vendors' list and permanent cancellation of purchases.
