About this opportunity
The California Department of Veterans Affairs (CalVet) is requesting bids for cemetery operations equipment maintenance and repair services at California Central Coast Veterans Cemetery (CCCVC) in Seaside, California under IFB 26HS0013, with bids due September 25, 2026.
The scope includes comprehensive maintenance and repair services for five pieces of equipment: one Kubota KX040-4r3 excavator, two John Deere Gators (HPX and 865E models), and two John Deere tractors (2025R and 2520 models). Services consist of semiannual preventive maintenance (estimated 6 visits), non-emergency repairs (estimated 3 visits with 24-hour response requirement), and emergency repairs (estimated 3 visits with 2-hour response requirement). Maintenance is performed during standard business hours, Monday through Friday, 8:00 a.m. to 5:00 p.m., preferably on Wednesdays. The contractor must employ a minimum of two service technicians experienced or factory-trained on the specified equipment and maintain complete electronic service records submitted within three business days of completion. All replacement parts must meet or exceed Original Equipment Manufacturer specifications; rebuilt, remanufactured, or aftermarket parts are not reimbursable unless specifically approved. Parts up to $500 per single repair are included at no additional cost to the State; repairs exceeding $500 require prior written approval from the Contract Manager.
The maximum annual parts budget is $10,500. Pricing is structured as all-inclusive hourly rates for maintenance, non-emergency repairs, and emergency repairs (rates to be specified in Exhibit B-1), binding for the entire contract term including extensions. Award is based on the sum of all line items, with the lowest responsible quote selected. The contractor must maintain commercial general liability insurance with a combined single limit of not less than $1 million per occurrence and automobile liability coverage of not less than $1 million per accident. CalVet may amend the contract to extend the term up to one additional year or add funds at the same rates.
