About this opportunity
The Jamestown-Yorktown Foundation is requesting bids on replacement audio-visual equipment for its Jamestown Settlement and American Revolution Museum at Yorktown facilities under IFB 26-JYF-260, with bids due June 19, 2026 at 2:00 PM EST and questions due June 8, 2026. The solicitation is set-aside with award priority for DSBSD-certified micro and small businesses.
The scope encompasses ten line items of museum gallery and theater audio-visual equipment: projectors, lenses, video players, interactive touch-screen monitors, and mounting hardware distributed across the Rebellion Theater, ARMY Gallery, JS Intro Theater, and exhibits spaces. Specific manufacturer models are identified, including Panasonic projectors and lenses, Alcorn-McBride video playback systems, and Gvision and Planar touch-screen monitors. Line item six specifies an 80-inch Panasonic touch-screen display (W x H x D: 73.6" x 43.1" x 4.1") with acceptable alternatives from NEC, Sharp, LG, or Samsung, or a 75-inch model if 80-inch units become unavailable. The video player line item carries a $20,000 budget constraint with escalation provisions for 7th Sense Media servers or Apple Mac Studio configurations if the primary option exceeds budget.
All equipment must be delivered to the American Revolution Museum at Yorktown, 200 Water Street, Yorktown, Virginia 23690, no later than May 15, 2026, via liftgate truck with FOB Destination terms. The contractor must provide a minimum three-year manufacturer's warranty, replace defective or damaged equipment at no cost within the stated response timeframe, and furnish complete documentation including manufacturer specifications. Bid prices must include shipping, delivery, handling, and protective packaging and remain valid for 90 days. An eVA transaction fee of 1 percent (capped at $500 for DSBSD-certified small businesses or $1,500 for other businesses) applies per order. Award goes to the lowest responsive and responsible bidder. Bidders must submit pricing schedules, contractor data sheets, State Corporation Commission forms, small business subcontracting plans, and proprietary information identification forms via the eVA electronic procurement system.
