About this opportunity
Macon-Bibb County is seeking proposals for a comprehensive Fire Station Alert System (FSAS) to improve incident notification and firefighter safety across its 22 fire department facilities serving approximately 157,000 residents. The Request for Proposal (RFP) requires vendors to furnish, install, integrate, and support a modern, reliable alerting infrastructure that eliminates reliance on dispatcher voice announcements and enhances turnout times. Qualified vendors must have a minimum of three years of experience providing fire station alerting services, possess a Georgia business license, and demonstrate financial and legal stability. The proposal evaluation will be based on a 100-point scoring system, with points allocated as follows: Experience/Qualifications (20 points), Project Technical Approach (25 points), Project Implementation Plan/Timeline (25 points), and Price Proposal (30 points). Key submission details include: proposals must be submitted by 12:00 p.m. noon on February 5, 2026, to the Procurement Department at 700 Poplar Street, Suite 308, Macon, Georgia 31201, with five hard copies and a flash drive; questions must be submitted by email to lhardwick@maconbibb.us by January 16, 2026, at 3:00 p.m.; and responding firm names will be publicly read on February 5, 2026, at 2:00 p.m. in the Procurement Department Conference Room.
The county encourages participation from Minority, Women-Owned, and Disadvantaged Business Enterprises, with quarterly subcontractor/supplier participation reporting requirements. Local businesses within Bibb County receive preference, potentially being awarded the contract if their bid is within 5% of the lowest responsive bid. Insurance requirements include $1,000,000 in general liability coverage, workers' compensation, and $1,000,000 in errors and omissions insurance, with Macon-Bibb County named as an additional insured. The contract will include a one-year warranty period with 24/7/365 technical support and maintenance obligations. Pricing must be structured as fixed project costs, itemizing hardware, software licensing, installation and labor, training, and recurring annual maintenance fees, with pricing valid for a minimum of 120 days from submission. While no specific budget range is explicitly stated, vendors are required to provide comprehensive pricing details that cover all aspects of the Fire Station Alert System implementation and ongoing support. The county reserves the right to conduct interviews and demonstrations as part of the evaluation process.
