About this opportunity
Macon-Bibb County is seeking a contractor for Rosehill Cemetery Maintenance Services through a sealed bid procurement process. The contract requires comprehensive ground maintenance services, including mowing, edging, trimming, and debris removal four days per week throughout all 52 weeks of the year. Contractors must maintain a minimum crew of four personnel with two mowers during spring/summer (April-September) and a two-person crew during fall/winter (October-March). Qualified vendors must have at least five years of verifiable experience in similar cemetery maintenance work. The procurement process includes a mandatory pre-bid conference on February 12, 2025, at 2:00 p.m., with a second mandatory meeting on February 26, 2025, at 10:00 a.m. Questions from potential bidders are due by February 28, 2025, at 3:00 p.m., and sealed bids must be submitted by March 13, 2025, at 12:00 noon to the Macon-Bibb County Procurement Department. The county reserves the right to make split awards and will evaluate bids based on responsiveness, responsibility, and local business preferences.
The procurement opportunity strongly encourages participation from Minority, Women Owned, and Disadvantaged Business Enterprises (M/W/DBE), with additional support available through the Small Business Affairs office. Vendors must meet specific insurance requirements, including Workers' Compensation, Employer's Liability ($1M), Commercial General Liability ($1M per occurrence), and Commercial Auto Liability ($1M combined single limit). Contractors will be required to coordinate schedules with the Parks and Beautification Director and must avoid working during funerals or memorial services. The county provides a comprehensive vendor application package that includes various mandatory forms such as Bidder Qualification Form, Sub-Contractor List, Minority Participation Goal documentation, Financial Stability Statement, and E-Verify Affidavit. While no specific budget range is explicitly stated, the detailed requirements suggest a significant ongoing maintenance contract with potential for multi-year engagement. Small and disadvantaged businesses can seek additional assistance by contacting Charise Stephens at (478) 300-2297 or via email.
