About this opportunity

The Defense Health Agency is seeking to procure software updates and maintenance services for Varian TrueBeam linear accelerators at Naval Medical Center Portsmouth. The current radiation oncology linear accelerator software has reached end-of-life status and is incompatible with updated versions of radiation treatment planning and delivery software, creating a critical operational issue that prevents patient treatment. The contractor must provide all necessary personnel, equipment, supplies, and services to update two Varian TrueBeam units to software version 3.2 to ensure compatibility with the ECLIPSE/ARIA treatment planning and delivery systems. The government has issued a Notice of Intent to award this as a sole source contract to Varian, seeking responses that demonstrate clear evidence that competition would be advantageous, cost-effective, and would not hinder mission objectives. Interested parties must submit responses to Contract Specialist Kimberly Bunn at kimberly.p.bunn.civ@health.mil with "Notice of Intent Submission 12300328" in the subject line by July 30, 2025.

This procurement does not utilize any set-aside designation and appears positioned for award to Varian as the sole source provider. The contract structure includes one base year running from October 1, 2025, through September 30, 2026, with four additional option years available for extended maintenance services. The government files indicate some discrepancy in start dates, with one document referencing November 1, 2025, through October 31, 2026, for the base period. The procurement is classified under NAICS code 334510 for Electromedical and Electrotherapeutic Apparatus Manufacturing and PSC code J065 for maintenance and repair of medical equipment. While specific contract values are not disclosed in the notice, the critical nature of maintaining operational cancer treatment capabilities suggests this is a high-priority procurement for the medical facility.
