About this opportunity

The Department of Defense Washington Headquarters Services Acquisition Directorate is seeking support services for the biennial DoD Corrosion Prevention Technology and Innovation Symposium through a Sources Sought Notice. This market research effort aims to determine the appropriate acquisition strategy for comprehensive conference management services, including planning, marketing, technical program development, and event production. The contractor must demonstrate established relationships within national and international corrosion control communities and possess experience organizing large conferences. The symposium typically attracts 600 attendees across 75 organizations and requires capabilities such as hosting 9 concurrent technical sessions, 300-person plenary sessions, and managing poster presentations. Responses to this Sources Sought Notice are due by January 31, 2025, with the anticipated contract award expected in spring 2025.

The pre-solicitation notice encourages participation from all small businesses, including 8(a), HUBZone, Service-Disabled Veteran-Owned, Women-Owned, and Economically Disadvantaged Women-Owned Small Businesses. The proposed contract is structured as a no-cost arrangement with a 15-month base period and two 24-month option periods, falling under NAICS category 561920 for Convention and Trade Show Organizers. While specific award values are not detailed, the contract requires comprehensive services such as venue selection, registration management, technical program development, marketing materials creation, website and mobile app development, and on-site event coordination. The procurement will be managed through the PSC category R799 for Support-Management services, with the goal of selecting a contractor capable of executing a complex, large-scale technical symposium for the Department of Defense.
