About this opportunity

The U.S. Department of Transportation's John A. Volpe National Transportation Systems Center issued a Special Notice for a sole source task order to Meetings Northwest, Inc. The notice pertains to event planning and coordination services for the Annual UTC Outstanding Student of the Year (SOY) Awards Ceremony, which will be held on January 4, 2025, at the Grand Hyatt Washington, DC. The procurement is being conducted in accordance with FAR 13.106-1(b)(1)(i) and is specifically targeted at Meetings Northwest, Inc., who is considered the only company capable of providing the required niche planning services. The event is associated with the Council of University Transportation Centers (CUTC) Awards Banquet and is administered by the Office of the Assistant Secretary for Research and Technology (OST-R). The Volpe Center has been continuously involved with the UTC Program since its inception in 1987.

The primary objective of this Special Notice is to secure comprehensive event planning services for the 34th Annual UTC Outstanding Student of the Year Awards Ceremony. Key deliverables include securing venue facilities, arranging audio-visual equipment, coordinating professional photography, and managing pre-event planning meetings for up to 120 participants. Critical deadlines include submitting venue and equipment information by December 27, 2024, updating the ceremony slide show by January 3, 2024, and posting event photography on the CUTC website by March 5, 2025. The period of performance extends from award through March 5, 2025. While this is a sole source procurement specifically targeting Meetings Northwest, Inc., the event itself supports the broader University Transportation Centers Program, which includes 90 university-based transportation centers funded through OST-R. The event will recognize outstanding students from these centers and is categorized under the NAICS code 541611 for Administrative Management and General Management Consulting Services.
