About this opportunity
The Department of State seeks catering services for an American Independence Day celebration at the U.S. Embassy Nassau on June 26, 2026, with proposals due June 15. There is no set-aside; this is open competition.
Place of performance is Nassau, The Bahamas. The event runs 7:00 PM to 10:00 PM and will serve up to 1,000 guests. Vendors may bid on any combination of nine regional-themed food stations: Stations 1–4 (New York City, Philadelphia, Saint Louis, Atlanta) or Stations 5–9 (Texas, Los Angeles, Seattle, Washington D.C., Coconut Grove Florida). This is a labor-only procurement; the Embassy provides all ingredients, refrigerated trucks, food warmers, kitchen facilities, and prep areas. Each station requires a minimum of two servers; 18 servers total across all stations, plus a supervisor/coordinator and supporting staff for replenishment and maintenance. Vendors must provide fully staffed stations with bite-sized portions, setup by 6:00 PM, service 7:45 PM to 9:45 PM, and complete breakdown by midnight June 27. Vendors must also supply 70 pre-boxed staff meals at 4:30 PM and all serving equipment including chafing dishes, warming equipment, and heat lamps.
Minimum qualifications include established business presence, English proficiency, all required local licenses and permits, minimum $2 million general liability insurance, and current food safety certifications for all handlers. Vendors must demonstrate documented experience with large-scale events serving over 1,000 guests. Evaluation weighs price competitiveness at 30%, experience with large-scale events and references at 40%, staffing plan adequacy at 20%, and compliance with certifications and insurance requirements at 10%. Final headcount adjustments are due June 17, with accommodation for up to 10% adjustments without penalty. Payment is due upon completion and invoice submission.
